Position Summary:
Performs administrative and secretarial assistance for the department
Experience:
Three-year secretarial experience required. Individual must be knowledgeable and proficient in word processing, spreadsheets, and grafts using Microsoft Word, Excel and PowerPoint programs.
Education:
High school graduate with business/secretarial courses, proficient typist. Knowledge of standard medical abbreviations and terminology.
Essential Functions:
- Administrative
- Coordinates meeting and travel arrangement for the Department.
- Assists with details of meetings, including room scheduling, publicity, programs, ordering equipment, pre-registration lists, arrangements housekeeping and mailing. Assists with registration procedures, including responsibility for collecting money and ensuring its arrival in finance.
- Supervises volunteers in performing clerical work (collating materials, assembling booklets, etc.)
- Demonstrates willingness to accept non-routine work assignments as appropriate.
- Document Preparation
- Transcribes, types, and prepares documents for mailing or internal distribution. Types of documents
- include letters, memos, reports, policy/procedures, meeting minutes, and contractual agreements.
- Prepares PowerPoint presentations.
- Prepares, reviews, copies, and files as necessary, departmental correspondences.
- Attends selected meetings and records minutes.
- Maintains records and files as requested.
- Meeting Scheduling
- Schedules meetings and appointments.
- Confirms meetings to requestor and participants.
- Schedules meetings in a timely manner.
