Advertising Summary: Aggie Welcome & Orientation (AWO) is a unit within the Department of Student Life that is seeking a positive and motivated individual to work as our inaugural Administrative Assistant. The unit is responsible for new student orientation, family engagement events throughout the year, and supporting both students and families in their transition to college/NMSU. AWO serves all students and families at the university and collaborates with other offices and programs to create a welcoming environment, and increase student success and retention.

Target Hourly/Salary Rate: $17.85

Appointment Full-time Equivalency: 1.0

FLSA Status: Non-Exempt

Bargaining Unit Announcement: This is a bargaining unit position with American Federation of State, County & Municipal Employees (AFSCME).

Contingent Upon Funding: Contingent upon funding

Standard Work Schedule: Standard (M-F, 8-5)

If Not a Standard Work Schedule:

Job Duties and Responsibilities: - Ability to track expenditures and support in purchasing.

• Mentor student workers.
• Support NMSU strategic goals (NMSU LEADS 2025).
• Support all staff in day-to-day office duties.
• Complete all GA, student, and staff hires.
• Help manage operating budget and manage p-card purchases.
• Supports staff in arranging travel plans, itineraries, and agendas.
• Schedules and coordinates occasional meetings and events for AWO programs.
• Disseminates basic information about upcoming events as well as other avenues of information for perspective students and families, and campus colleagues.
• Assists staff members in preparation for programs.
• Assists staff in maintaining unit webpages and family engagement platform.
• Other duties that align with the management of the office.

Qualifications

Required Education and Experience:

High School diploma + 3 years of relevant experience or an Associate''s Degree + 1 year of relevant experience.

Equivalent Qualifications:

Completion of a post-secondary degree or certificate may substitute for years of experience.

Preferred Qualifications:

• Ability to support and work with diverse faculty, staff, and students.
• Ability to create a welcoming office space to recruit students and faculty.
• Experience with scheduling/calendar management through Microsoft Outlook.
• Bilingual in English and Spanish.
• Ability to obtain NMSU utility cart permit.

Special Certification/Licensure:

Working Conditions and Physical Effort

Environment: Work is normally performed in a typical interior/office work environment.

Physical Effort: No or very limited physical effort required.

Lifting Requirements: Requires handling of average-weight objects up to 10 pounds or some standing or walking.

Risk: No or very limited exposure to physical risk.
