    EDUCATION AND EXPERIENCE:

    High School Diploma or Equivalent

    Four years related experience and/or training; or equivalent combination of education and experience

    High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.

    PRIMARY PURPOSE SUMMARY:

    Provides clerical and administrative support for assigned content area Director and/or Program Coordinators to ensure: efficient operation of the Curriculum & Instruction offices; accurate records using the professional development management system and maintaining accurate budgets and financial records for the assigned program area. The position is cross-trained to support any assistant director and/or coordinator within the Curriculum & Instruction Department.

    ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:

    1. Monitors, maintains, and enters data into the Eduphoria Workshop professional development management system, including the substitute teacher funding set up, posting courses in Eduphoria Workshop, verifying rosters and recording dates in the District professional development newsletter and other appropriate professional development calendars.

    2. Provides budget support to the director on department budget procedures and ongoing support throughout the year including budget balance reporting to Director.

    3. Monitors, maintains, reviews, and balances budgets for multiple programs, including entering purchase orders and financial transfers and keeps accurate financial records.

    4. Prepares and processes requisitions, requests for payment, work orders, faxes for transmission, refreshment orders, arranges media and set up needs, room reservations, supplemental pay forms, deposits, petty cash, printing requests and all general office forms as necessary on a daily basis.

    5. Arranges employee travel, including air travel, car rental, hotel, internet needs and shuttle transportation to/from airport - Upon employee return, provides support to complete travel reimbursement, including proper receipts for audit records.

    6. Reconciles HEB and American Express (AMEX) District cards online weekly.

    7. Responsible for obtaining three (3) quotes when working with vendors and purchases and/or obtains Sole Source letters for products and services necessary to help Director make fiscally responsible decisions on selection of products and services - Tracks and maintains professional service contracts as they are routed through the Procurement and eCommerce Department, School District Attorney, various District departments and outside entities.

    8. Maintains CRMS inventory records on equipment and performs verification annually on Mainframe for department specialists, coordinators, Director and transfers to campuses.

    9. Communicates effectively and positively with a diversified group of individuals, i.e. administrators, principals, coordinators, teachers and secretaries and relays this information to appropriate personnel.

    10. Interacts in person and on the telephone in a positive and informative manner with patrons and the public.

    11. Occasionally required to drive personal vehicle in the performance of assigned tasks.

    12. Maintains confidentiality of all information.

    13. Reports to work on time every day.

    14. Performs additional duties and responsibilities as may be assigned.

    QUALIFICATION REQUIREMENTS:

    • Knowledge and ability to use mainframe computer systems utilized by the Departments of Accounting and Procurement and eCommerce
    • Proficient with written and spoken communication regarding program information to the public
    • Proficient typing, word processing, bookkeeping and file maintenance skills
    • Effective organizational, communication, interpersonal, and problem solving skills
    • Ability to use personal computer and programs to develop spreadsheets, databases and word processing
    • Ability to handle several tasks simultaneously with frequent interruptions
    • Ability to work independently with minimal supervision
    • Ability to prioritize schedule to maximize workday productivity
    • Valid Texas Driver's License with driving record that meets the requirements of the District

    WORK ENVIRONMENT:

    The employee is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually moderate.
