Administrative Assistant
Location: Jurupa Valley, CA (Onsite)
Schedule: Full-Time, 40 hours per week
Duration: 6 month contract
Pay Rate: $25.00
Hours: Monday through Friday, 8:00 AM - 5:00 PM
Position Summary
We are seeking a highly organized and proactive Administrative Assistant to support daily site operations and administrative functions. This role is ideal for an individual who thrives in a fast-paced environment, enjoys managing multiple priorities, and takes initiative to improve processes and maintain efficient office workflows.
The successful candidate will serve as a key administrative resource, coordinating site activities, supporting vendor management, maintaining documentation, and ensuring smooth day-to-day operations.
Key Responsibilities
- Serve as a professional point of contact for internal teams, vendors, and external partners.
- Build and maintain positive working relationships across all levels of the organization.
- Coordinate and manage schedules, meetings, conference calls, and interviews.
- Support site procurement activities, including vendor coordination, supply orders, facility services, utility accounts, and other operational needs.
- Assist with vendor onboarding and setup in internal business systems.
- Prepare, organize, convert, and route documentation through approval workflows.
- Maintain accurate records and support document control processes.
- Track monthly expenses and assist with cost reporting activities.
- Identify opportunities to improve administrative processes and office efficiency.
- Manage multiple projects and priorities while meeting deadlines.
- Perform additional administrative and site support duties as assigned.
Required Qualifications
- Minimum of 2 years of experience in an administrative, office coordination, or site support role.
- Experience in manufacturing, industrial, logistics, recycling, construction, or similar operational environments preferred.
- Strong organizational and time-management skills with the ability to prioritize competing demands.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
- Excellent verbal and written communication skills.
- Ability to work independently with minimal supervision and exercise sound judgment.
- Experience maintaining records, documentation, and approval workflows.
- Strong attention to detail and commitment to accuracy.
Preferred Qualifications
- Experience with vendor onboarding, purchase requisitions, purchase orders, or ERP systems (SAP experience is a plus).
- Knowledge of document control and records management practices.
- Experience preparing reports, tracking budgets, and monitoring expenses.
- Ability to coordinate multiple projects simultaneously in a deadline-driven environment.
- Associate degree in Business Administration or a related field preferred.
