Introduction:
The Administrative Assistant is a part-time, non-exempt position working 25 hours per week, Monday through Friday from 8:00 a.m. to 1:00 p.m. Occasional evening and weekend work may be required to support parish events and activities.
Responsibilities:
- Answering calls and greeting visitors who come to the parish office.
- Prepare Sacramental Preparation and Funeral paperwork and record appropriately.
- Responsible for inputting and scheduling all events in calendars.
- Coordinating Pastor’s appointments.
- Organize all sign-ups for classes, Ministers for holy days, etc.
- Ensure continuous updates on the parish website and for the bulletin are sent to the responsible party as needed.
- Responsible for preparing, editing, and ensuring the publication and distribution of the Weekly Parish Bulletin.
- Assist in the organization and planning of Annunziata’s church parish events.
- Prepare the Mass Commentary, Prayers of the Faithful, and Parish announcements on a weekly basis.
- Maintain inventory of all liturgical, office, and cleaning supplies and ensure replenishment when needed, for the effective operation of the parish.
- Assist the money counters in their role.
- Assist the Finance Council, Pastoral Council, and other ministries where they may need printing and dissemination of information.
- Identify, invite, and liaise with volunteers offering their time for different activities or duties at the church.
- Any other duties assigned by Pastor.
Qualifications:
- Must be able to successfully complete Safe Environment training
- Knowledge of the Catholic Church and its teachings and values.
- Ability to travel in one’s own vehicle to travel within the Diocese of Houma-Thibodaux is required.
Previous experience as an administrative assistant or in a similar role is preferred
Strong communication and interpersonal skills
Proficiency with computer systems and software, such as Microsoft Office and email
Excellent organization and time management skills
Ability to multitask and handle a high-volume workload
- Fluency in English is required; additional language skills, preferably Spanish, are a plus
