The Administrative Assistant will provide essential support to Managing Directors in a trading floor environment, ensuring smooth day-to-day operations. This role demands strong international travel coordination, calendar management, and fast paced coordination on behalf of senior leaders.

Description

  • Manage calendars, appointments, and schedules for team members.
  • Coordinate domestic and international travel arrangements and prepare detailed itineraries.
  • Handle incoming and outgoing correspondence, including emails and phone calls.
  • Prepare and edit documents, presentations, and reports as needed.
  • Maintain and organize records, files, and office supplies.
  • Assist with meeting preparation, including agendas and minutes.
  • Support team projects by ensuring timely completion of administrative tasks.
  • Act as a liaison between departments and external contacts.
  • Act as a true gatekeeper to executive leaders.

Profile

A successful Administrative Assistant should have:

  • 6+ years of executive support experience, ideally in a trading floor environment.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency with office software, including AI implementation and Excel usage.
  • Attention to detail and the ability to meet deadlines.
