Description

Job Summary: We are seeking a versatile Senior Administrative Assistant to support Sr. Director(s) in the Global Operations team. This individual will serve as a key liaison, enabling business leaders to excel in a high-velocity, constantly evolving environment. Candidates should demonstrate outstanding organization, professionalism, adaptability, and uphold the company's values in all interactions with colleagues and guests.
Requirements:
  • High school diploma or equivalent.
  • Minimum 3 years of administrative work experience.
  • Strong communication skills with the ability to interact with senior executives.
  • Proven track record in fast-paced, results-oriented settings, including periods of ambiguity.
  • Excellent organization, prioritization, and confidentiality handling abilities.
  • Ability to work independently, proactively follow through, and maintain acute attention to detail.
  • Experience tracking budgets and handling confidential finance-related information preferred.
  • Proficiency with Microsoft Office Suite (Outlook, PowerPoint, Word, Excel), virtual meeting platforms (Zoom/MS Teams), and experience with Keynote or AI tools (optional).
  • Previous experience with the company a plus.
  • Willingness to occasionally work outside core hours.

Responsibilities:
  • Manage complex calendars, scheduling meetings and conferences, resolving conflicts, and coordinating across teams.
  • Book domestic and international travel for supported leaders, including complete itineraries and documentation.
  • Plan and coordinate meetings and events (onsite/offsite), securing venues, coordinating catering, handling budgeting, and communicating with external parties.
  • Prepare and organize expense reports, track budgets, and process invoices or purchase orders.
  • Draft, edit, and format documents organizational charts, presentations, team communications, and session agendas.
  • Support projects through planning, progress tracking, and deadline management.
  • Foster team culture by supporting staff meetings, team-building activities, and workspace logistics.
