  1. Explain what the scope of the work/project is? Project Overview, deliverables (what is this person responsible for).
We will be discussing a Site Admin located at Xcel's Fort Lupton Plant near Fort Lupton, CO. This resource will be needed to support construction of a new facility. The site admin will be responsible for running the job site trailer, ordering supplies, attending meetings, including a Plan of the Day meeting that begins at 7:00 AM each day, taking meeting minutes and generally providing administrative support to those working on site and out of the trailer.
  1. What does a typical day look like for these two resources?
Site Admin at Xcel's Fort Luton Site: Early Start: Arrives at the job site trailer before 7:00 AM. Plan of the Day Meeting: Attends the daily meeting at 7:00 AM, takes minutes, and distributes them. Administrative Tasks: Manages the job site trailer, orders supplies, and ensures everything is running smoothly. Meeting Support: Attends various meetings throughout the day, takes notes, and provides administrative support. Coordination: Coordinates with on-site staff and those working remotely to ensure project needs are met. End of Day: Wraps up any remaining tasks and prepares for the next day.

Site admin will be supporting the entire site including those that work on site and in the trailer in addition to guests/visitors that arrive.

AA's will interface with restaurants, goods/services vendors for catering or other needs that may arise on site.

The site admin could be considered an Individual contributor since they are the only admin at the trailer; there are however, other site admin's in different areas/sites that this resource could lean on for support.
  1. What is the ramp up time/process for this role?
Aside from having the required skill set, approximately how long will it take to train on Xcel's process, procedures/policy?
Within a few weeks.
  1. What are the work hours/shift (standard, evening, full time/part time, OT required, on-call for 24/7 operation)?
Site admin – Early start at 7 to attend the plan of the day meeting. Day usually wraps up around 3:30 PM.

Site admin is slated at 12 months but project will last until around the end of 2028 and hopes would be for this admin to be on the team for the entirety of the project.


Candidate Detail Section
  1. What are the top 3-5 skills and qualifications (technology/application/software, etc.) required?
  • 3-5 years of experience in an administrative capacity.
  • Demonstrated work ethic with the ability to step in, be proactive with request and the overall ability and willingness to assist.
  • Experience with/proficiency in Microsoft Office and SharePoint, OneNote and Adobe Pro/Blue Beam. Experience with expense reporting using the SumTotal software or similar.
  • Experience working in SAP. This experience would be helpful, however, not required.
  • Have a valid driver's license and dependable transportation. Must have at least a high school diploma or GED.
  1. What non-technical skills are necessary (i.e., such as communication, problem solving, team player)?
Ideal candidates will be resourceful and have the ability to troubleshoot, and problem solve. Resource should be strong written and verbal communicators and should not be afraid to collaborate and ask questions. Resource should show strong initiative and willingness to learn
  1. Ideal candidate background and how many years required?
At least 5 years of previous administrative experience.
  1. Are there any specific companies you like to see on a candidate's resume?
Experience from Mortenson, Vestas, previously supporting vendor side in/on a construction trailer capacity. The office admin skills are pretty transferable.
  1. Are there any certifications that the candidate must possess?
Certifications are not required, however, any certifications from MS Office suite or SharePoint, to illustrate proficiency would be nice to see.
