Financial Aid Administrative Assistant

The Financial Aid Administrative Assistant focuses on the core responsibilities associated with screening students for financial aid eligibility.

This position researches and provides answers to all questions regarding the processing of a Free Application for Federal Student Aid (FAFSA) as well as provide technical assistance to students having issues with navigating and/or submitting a financial aid application or follow up documentation. This position supports students, parents, internal and external customers via a variety of platforms; in person, email, phone, text, high school nights and WebEx virtual meetings.

Duties and Responsibilities:

  • Monitor the phones for calls. Ensure answers to questions are accurate and thorough.
  • Student Outreach, Performs daily selection set tasks in PowerFaids financial aid management system to determine what information is missing on student accounts. If information needs to be submitted, contact students.
  • Monitor the students check in system, virtual and in-person line to ensure students are helped and their questions about their financial aid, how financial aid works, and the student's eligibility for federal aid are answered.
  • Member of the Financial Aid Satisfactory Academic Progress Appeal Committee. Evaluate student's satisfactory academic progress appeals and determine their eligibility for continued receipt of financial aid.
  • Assists with daily selection set tasks in PowerFaids that prepare student accounts for financial aid processes. Run Batch Letters regarding missing information letters, Student Loan Entrance Counseling and Master Promissory Note
  • Responsible for working Skip Tracing Reports from Student Loan Servicers
  • Performs daily scanning, indexing and filing of student documents through the electronic Docubase filing system.
  • Perform review of Business Office list of students who have not made a tuition payment (Backout List). Review students with unpaid balances for financial aid awards, issues, recent payments, adjustments to student schedules, etc. Assist student in completing missing information or retrieving and submitting needed information needed by financial aid. Call, email or text students who need help finishing their financial aid application.
  • Performs daily research in order to respond to students' and staff questions via various platforms: Email, Text Messaging, Qless, Shortel, and WebEx Teams
  • Assist Veterans with collecting documents necessary to be certified. Review Veterans files and schedules for updates and changes.
  • Other duties as assigned. Responsibilities and duties may change based on the needs of the department and the institution.

Required Education

High School Diploma or GED

Required Skills & Abilities

  • Ability to communicate, both orally and in written form, effectively with students and other campus departments as well as diffuse difficult, angry, or emotional situations with students and/or parents.
  • Ability to listen to students and provide support and guidance to students and parents as they navigate the financial aid process, especially those who are first time students or have unusual circumstances.
  • Ability to operate a computer and basic knowledge of computer programs: outlook, word, and excel as well as learn institutional supporting programs and software
  • Critical thinking skills, ability to problem solve, and ability to prioritize and manage heavy workloads, especially during peak enrollment periods.
  • Typing and 10-key entry skills and basic knowledge of office equipment: copy machine, phones, fax machine
  • Ability to understand federal financial aid programs, Federal regulations, and become familiar with Federal Student Aid Handbook, Title IV program fund regulations, Department of Education rules and regulations, Veteran certifying official handbook
  • Ability to understand current tax forms, IRS regulations and IRS Tax guide and its implications pertaining to financial aid.
  • Ability to work independently and work under deadlines especially during peak enrollment periods as well a problem-solve with other financial aid staff and campus departments, to resolve individual student issues.

Two (2) years Customer Service Experience
