Job Opportunity - Administrative Assistant

Position Summary

Perform assigned purchasing activities within AptarGroup for raw materials, supplies, and/or

corporate/facilities support functions. Act as a central point of contact for specific procurement

items/activities and support internal client and supply base requirement.

Job Elements & Position Responsibilities

Front Desk & Reception

  • Greet employees, visitors, clients, and contractors with a friendly, professional, and welcoming presence
  • Answer and route incoming phone calls or inquiries with courtesy and efficiency
  • Manage visitor check-in procedures and maintain a welcoming front-office environment
  • Handle general inquiries and provide accurate information or direct requests appropriately
  • Support a seamless and positive first impression for all customers and guests

Administrative Support

  • Provide administrative assistance to leadership and cross-functional teams
  • Manage calendars, schedule meetings, and coordinate conference rooms
  • Collect mail and correspondence and distribute accordingly
  • Order, stock and manage office and breakroom supplies ensuring all areas remain organized and fully replenished
  • Prepare and set up beverages, snacks, and other hospitality items for visitors, candidates, and Aptar executives to ensure a welcoming and professional environment.
  • Assist Human Resources in the planning, setting up and clean up activities for employee events and activities.
  • Work closely with the Site Director to support day‑to‑day operational needs, including managing calendars, scheduling meetings, and coordinating site activities.
  • Perform other related duties as assigned, including clerical tasks for site director and personnel.

Required Qualifications

Education

  • Associate or bachelor's degree preferred, but not required.
  • Proven experience in an administrative role.
  • Demonstrated relationship management with third party value add service providers
  • Demonstrated advancement in responsibility and authority

Skills

  • Proficient with business computing tools including Microsoft Office Applications
  • Familiarity with SAP and inventory control systems and practices
  • Ability to consistently manage multiple priorities
  • Excellent verbal and written communication skills
  • Confidence and professionalism in all dealings, both internal and external stakeholders.
