    Description

    The Communications Sciences and Disorders Administrative Assistant is a highly organized and proactive individual providing comprehensive administrative support. The successful incumbent will play a crucial role in ensuring the smooth operation of the department, assisting faculty and students, and supporting various departmental functions.

    The incumbent will oversee building operations, support the students, faculty, clients / client families, and ensures a physical presence in Hendricks Hall as faculty and students travel between campus and clinical sites to engage in clinical and academic learning experiences.

    Essential Functions and Responsibilities

    • Administrative Support:

    • Manage daily office operations, including scheduling, correspondence, and record-keeping.

    • Coordinate and schedule meetings, events, and appointments for faculty and department staff.

    • Prepare and distribute meeting agendas, minutes, and other related documents.

    • Communication and Coordination:

    • Serve as the primary point of contact for internal and external inquiries related to the department.

    • Handle phone calls, emails, and mail, ensuring timely and professional responses.

    • Facilitate communication between the department and other university departments, organizations, and stakeholders.

    • Documentation and Record Management:

    • Maintain accurate and confidential records, including student files, faculty documents, and departmental data.

    • Assist with the preparation and submission of reports, and accreditation documentation.

    • Event Planning and Support:

    • Organize and coordinate departmental events, workshops, seminars etc.

    • Assist with logistics, including venue arrangements, materials preparation, and participant registration (if required).

    • Financial and Budgetary Assistance:

    • Process purchase orders and expense reports

    • Assist with budget tracking and financial reporting as needed

    • Student and Faculty Support:

    • Provide administrative support to faculty and students, including handling course-related inquiries and assisting with scheduling.

    • Support the onboarding process for new faculty and students.

    • Office Management:

    • Oversee office supplies inventory and ordering.

    • Ensure the office environment is organized and well-maintained.

    Other relevant duties as assigned.

    Regular and predictable attendance is required.

    On-site work is required.

    Incumbents must remain relevant in the area of employment and flexible to changes in work related to institutional needs.

    Typical Qualifications

    Education and Experience

    Associates degree or equivalent work experience required; Bachelors degree preferred.

    Minimum of 2 years of administrative experience, preferably in an academic or healthcare setting.

    Licenses and Certification

    Valid Georgia Driver's License (or obtained within 30 days of hire date) and satisfactory MVR.

    Knowledge, Skills, and Abilities

    Experience in a university or academic environment.

    Knowledge of communication sciences and disorders or related fields.

    Familiarity with university administrative systems and processes.

    Ability to collaboratively and effectively work in a diverse and inclusive environment.

    Environmental, Physical, And Visual Acuity Factors

    Essential functions and responsibilities of this position are performed in an inside environmental condition, where there is protection from weather conditions but not necessarily temperature changes. Essential functions and responsibilities require light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.
