The Administrative Assistant will provide direct administrative and operational support to the Market President and Director of Market Operations across South Market.
Responsibilities include:
- Prepare agendas, take meeting minutes, and maintain action-item trackers.
- Track correspondence, requests, deadlines, and outstanding follow-up items.
- Screen incoming requests and route them to the appropriate leader or department.
- Coordinate meals and supplies for provider, leadership, shareholder, candidate, and vendor meetings.
- Update physician and APP call schedules, including changes and coverage updates with ABC call and Maury Regional
- Assist with provider master schedules, clinic coverage lists, contact lists, and distribution lists.
- Manage workers’ compensation attorney correspondence, including logging requests, collecting necessary documentation, tracking deadlines, coordinating payment requirements, and routing requests for appropriate review.
- Maintain an attorney correspondence tracker to document the request, responsible provider, due date, payment status, and completion.
- Ensure attorney and workers’ compensation communications are documented appropriately without independently providing legal or medical opinions.
- Serve as a runner between Columbia, Spring Hill, Lawrenceburg, and other market locations for documents, supplies, deposits, equipment, or other approved operational needs.
- Cross-train in administrative clinic functions to provide coverage when needed, including check-in, checkout, scheduling, phone support, chart preparation, document scanning, and other nonclinical workflows.
- Support administrative teams during staffing shortages, high-volume periods, and special initiatives.
- Help maintain market policies, tip sheets, forms, shared files, and administrative resources.
- Check and distribute mail at all locations including Maury
- Perform other administrative and operational duties assigned by the Market President or Director of Market Operations.
