    Summary of Role:

    The Administrative Assistant supports Chip City Cookies across finance and operations while serving as the first point of contact for the office. This role partners directly with the President, and department heads on day-to-day administrative, financial, and operational tasks. We're looking for someone who is eager to learn and grow, brings strong Google Suite and Excel skills, has a natural head for numbers, and approaches every task with a detail-oriented, go-getter attitude.

    Primary Responsibilities:

    • Serve as the face of the office — greet visitors and manage front-office correspondence professionally
    • Provide direct administrative support to the President and department heads, including calendar management, scheduling, and travel arrangements
    • Assist with day-to-day finance tasks such as processing invoices, tracking expenses, and preparing basic financial reports
    • Coordinate company-wide meetings and events — booking spaces, managing invites/RSVPs, and handling logistics from start to finish 
    • Maintain and organize financial and operational records, spreadsheets, and files
    • Draft correspondence, memos, and presentations as needed
    • Coordinate meetings, take notes, and follow up on action items
    • Handle confidential information with discretion
    • Take on ad hoc projects across departments as priorities arise
    • Order and maintain office supplies and equipment

    Required Skills & Experience:

    • 1-2 years of experience in an administrative, finance, or office support role
    • Strong proficiency in Google Suite (Docs, Sheets, Slides, Gmail, Calendar) and Microsoft Excel
    • Strong financial acumen and comfort working with numbers, budgets, and expense tracking
    • Highly detail-oriented with strong organizational skills
    • A go-getter attitude with genuine interest in learning and growing within the company
    • Excellent written and verbal communication skills
    • Ability to manage multiple priorities across departments and maintain confidentiality

    Technical Skills:

    • Google Workspace (Docs, Sheets, Slides, Gmail, Calendar, Drive)
    • Microsoft Excel, including formulas, pivot tables, and basic reporting
    • Comfort learning new software; experience with accounting or expense tools a plus
    • Strong data entry accuracy

    Work Environment & Schedule:

    On-site (HQ) 5 days a week

    Compensation:

    $65,000–$70,000 annually, based on experience and qualifications.
