    Job Title Administrative Assistant, Business Services - Community Campus Position Number 7R9990 Hiring Location Code Advanced Manufacturing & Technology Center (AMTC) Job Description

    The incumbent is responsible for administrative assistant duties relative to the mission of the College and the purpose of the Office of the Dean of Business Services. The incumbent will report to the Dean of Business Services.

    Job Duties

    1. Provide assistance and clerical support for the Dean of Business Services.

    2. Perform duties independently and exercise a high degree of initiative in determining the approach/action to take in routine and non-routine situations.

    3. Exhibit a high degree of confidentiality.

    4. Provide an advanced level of work including complete understanding of applicable Banner by Ellucian software modules (i.e., Finance and Payroll modules) and proficiency in the entire Microsoft Office Suite, including Word, Excel, and PowerPoint.

    5. Maintain workflows and assist in keeping prioritized projects on schedule while constantly seeking innovative methods to streamline work.

    6. Respond to requests for information from the Dean of Business Services, which may require in-depth research and/or interpretation of College policies and procedures.

    7. Maintain an up-to-date and organized filing system that is easily accessible for retrieval of archival records and documents with an emphasis on electronic records management.

    8. Review and process expenditures to ensure adherence to MGCCC policies (e.g., check requests, purchase requisitions, travel reimbursements, procurement card reconciliations, etc.).

    9. Provide attention to details while reviewing and entering hiring and payroll documents such as contracts, time cards, benefits forms, and leave requests to ensure accuracy.

    10. Review and process budgets, payments, refunds, deposits and inventory transfers as required.

    11. Professionally and courteously accept calls, providing assistance and administering information to callers whenever appropriate.

    12. Communicate issues or conflicts effectively and timely to the Dean of Business Services.

    13. Assist in maintaining active and current calendars, including an active facility usage calendar to prepare for scheduled activities and an active vehicle request calendar. Produce Excel spreadsheets of monthly facility and vehicle usage.

    14. Prepare facilities for meetings, to include signage, supplies, and required technology.

    15. Consistently monitor office inventories to anticipate needs and order supplies or services.

    16. Be familiar with and ensure adherence to the Family Education Rights and Privacy Act (FERPA) and MGCCC policies and procedures.

    17. Champion the role the college plays in service to the community.

    18. Continually upgrade skills necessary to perform job-related duties and meet employee development units as required.

    19. Demonstrate exceptional adherence to work schedules and policies as exemplary performance for co-workers.

    20. All other duties assigned by the Dean of Business Services.

    Mandatory Qualifications

    (M1) Minimum of an Associate's Degree from a regionally accredited institution of higher education.

    (M2) Training and/or experience in the operation of personal computers, to include proficiency in Microsoft Word, Outlook, and Excel.

    (M3) Experience in an administrative office setting.

    (M4) Detail oriented, with excellent organizational and communication skills.

    Desirable Qualifications

    (D1) Bachelor's Degree in Business, Education, or related field.

    (D2) Experience using Banner by Ellucian software.

    (D3) Ability to organize and administer functions, events, and programs with a minimum of supervision.

    (D4) Experience working in a community/junior college.

    (D5) Demeanor, training and skill to deal with a wide variety of individuals and groups in varying degrees of professional situations.
