At TOA, the Administrative Assistant supports operations at the Central Business Office serving as an administrative resource. While this role may not directly support TOA’s patients, it enables those who do to provide excellent clinical and administrative care.
- Greet and welcome on-site visitors.
- Receive, sort, and deliver mail to the appropriate departments.
- Provide administrative support to the CFO as needed.
- Communicate and assist other departments (Accounting, Payroll, Human Resources, Information Technology) to ensure smooth office operations.
- Order and maintain office supplies.
- Assist Human Resources with New Employee Orientation setup and user access to company merchandise.
- Assist with event planning and coordination, organizing catering, and managing invitations.
- Perform general clerical duties, such as photocopying, faxing, and filing.
Requirements
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- An energetic and enthusiastic pace at work, with the ability to swiftly and accurately manage the flow of documents without any diminishing focus on accuracy.
- Must be able to work in a fast-paced environment, with a great tolerance for shifting priorities and workflow, with a demonstrated attention to detail.
- The ability to provide exceptional customer service, both in-person and telephonically.
- Excellent written and verbal communication skills.
- Attention to detail and problem-solving abilities.
- Ability to work independently and as part of a team.
- Discretion and confidentiality when handling sensitive information.
- Experience in a healthcare environment is desirable but not required.
- Dependability, with a reliance on the capacity to be at work on-time, every day so our team can provide the administrative services tasked with the role.
- Some college is preferred, and high school diploma or equivalent is required.
