Bay Vista Commons is looking for a friendly, organized, and dependable Administrative Assistant to join our team!

This is more than a traditional office position. As our Administrative Assistant, you'll be at the heart of our community-welcoming residents and families, supporting our employees, coordinating important appointments and paperwork, and helping our administrative team keep things running smoothly.

What You'll Do

In this role, you'll have a variety of responsibilities that keep each day interesting, including:

• Welcome residents, families, visitors, and staff and provide front desk reception support
• Schedule and coordinate resident medical appointments and transportation
• Provide tours and information to prospective residents, families, and guests
• Assist with new employee onboarding, orientation, paperwork, and employee records
• Track employee training requirements and compliance deadlines
• Help new residents and families complete paperwork and become familiar with the community
• Assist with HUD renewals, resident applications, and required documentation
• Prepare and maintain resident and marketing materials
• Create documents, coordinate meetings, and provide general administrative support
• Maintain accurate and confidential resident and employee records
• Manage office supplies, mail, filing, copying, and other day-to-day office needs
• Jump in on special projects and support the administrative team wherever needed

What We're Looking For

We're looking for someone who is professional, approachable, organized, and comfortable working with people from all walks of life.

Our ideal candidate has:

• Education beyond high school
• At least 2 years of related experience
• Strong Microsoft Word, Excel, and Outlook skills
• Accurate keyboarding skills of at least 50 WPM
• Excellent written and verbal communication skills
• Strong proofreading, grammar, and attention to detail
• The ability to prioritize and manage multiple responsibilities and deadlines
• Good judgment, initiative, and problem-solving skills
• A calm and professional approach, even when things get busy
• Basic math skills; bookkeeping experience is a plus
• Database or graphics experience is a plus

Compensation

$20.00 - $24.19 per hour

Starting wage will be based on relevant experience and qualifications.
