The City of Belmont's Parks & Recreation Department is looking for an Administrative Assistant to join our team! If you're organized, friendly, detail-oriented, and enjoy helping both coworkers and the community, this could be the perfect fit.
This position will support our Parks, Recreation and Facilities divisions. They will perform highly complex administrative support for programs and special events to keep the day-to-day details on track and play an important role in keeping our department moving. Examples of Essential Functions:
- Provide responsible and highly complex administrative support to an assigned department and department head; recommend improvements in workflow, procedures and use of equipment and forms.
- Be the forward-facing customer service representative for the department - screen in-person visitors and telephone callers; provide front counter assistance including general information to the public regarding assigned area of responsibility; respond to and resolve complaints and requests for information on regulations, procedures, and department systems .
- Research, compile, analyze and summarize a variety of informational materials; assist in the design and production of technical information, facilitate contract processing and develop handouts.
- Assist and develop website and social media content and links for department website pages.
- Draft and proofread a wide variety of reports, letters, memoranda and statistical charts;; independently compose correspondence, letters, memoranda, resolutions and staff reports as assigned.
- Provide support in the preparation and administration of the assigned department budget; monitor expenditures including reviewing and processing purchase requisitions and purchase orders; recommend modifications or adjustments as appropriate. Process credit cards and p-card reconciliation.
- Attend a variety of meetings; prepare and compile agenda packets; take and prepare minutes; disseminate information as appropriate. Attend in-person and serve as administrative recorder at the Parks & Recreation Commission meetings once a month (first Wednesday of every month at 7:00pm).
- Maintain a calendar of activities, meetings and various events for the department; coordinate activities with other City departments, the public and outside agencies.
- Organize meetings by notifying participants, making room arrangements and preparing required information and materials.
- Assist the public with questions about tree removal permits and process tree removal applications.
