    POSITION OVERVIEW The role provides clerical support for centrally based administrative or programmatic functions. Positions execute standardized office procedures and routine administrative tasks with high accuracy. Responsibilities are focused on clearly defined workflows, ensuring consistent adherence to established departmental policies. T he work regularly involves functions such as using database systems to enter or review information, maintaining different filing systems, providing customer service, completing routine purchases for the office/program, scheduling meetings, preparing various materials, and may involve other limited fiscal tasks.

    Positions use general administrative policies and procedures as well as recurring program specific policies to complete work.

    Specific tasks may vary by role, but typical examples of primary functions are listed below.

    ESSENTIAL FUNCTIONS General Administrative work: Greet and respond to a typical or recurring group of contacts that are related to the designated office/program. Schedule meetings and manage calendars for supervisors. Collect, review, and process or route paperwork. Communicate follow -up information with individuals. Perform mail collection/distribution functions. Record and type up minutes from meetings. Draft and edit program related materials such as flyers, forms, presentations, and surveys. Assist with program related projects, coordinate timelines and materials for staff.

    Data Entry/File Maintenance: Enter data and maintain program records in commonly used platforms. Generate program related reports for staff using systems. Prepare communications (letters/notices), distribute and file accordingly.

    Inventory: Maintain front office equipment and coordinate repairs with service providers. Manage office /program inventory by organizing, recording, and cataloging items to ensure accuracy and accountability. Review and resolve inventory discrepancies or related issues.     Fiscal: Review recurring/monthly reports for a small program budget or non-restricted grants. Review recurring program invoices, staff leave forms, or timesheets for completeness and/or payment collection. Perform other duties as assigned.
