    Administrative and Estimating Coordinator

    Hometown Roofing& Construction is currently searching for a full-time Administrative and Estimating Coordinator to support daily office operations by helping with basic administrative tasks, answering phones, organizing documents, entering information, and assisting staff as needed.

    Schedule:

    • Standard schedule: Monday-Friday, 40 hours per week
    • Occasional weekend and after-hours work may be required based on project needs

    Qualifications:

    • Strong organizational and problem-solving skills
    • Attention to detail and commitment to maintaining high standards of quality
    • Self-motivated and capable of managing competing priorities effectively
    • Strong interpersonal and communication skills with the ability to interact professionally
    • Experience with Xactimate or estimating software for construction programs preferred
    • Experience with insurance claims estimating and supplementing preferred
    • Comfortable working in a fast-paced, team-oriented environment
    • Familiarity and experience with Microsoft Office software and tools required
    • Familiarity and experience with Intuit QuickBooks is highly desirable
    • Valid driver’s license and reliable transportation

    Responsibilities

    • Field incoming customer sales calls in a professional and helpful manner, gathering basic information and directing calls or messages to the appropriate team member as needed
    • Input new sales leads into the company CRM accurately and promptly, ensuring customer contact information, project details, and notes are properly recorded
    • Support estimating and supplement estimating needs for projects, including insurance supplements for restoration and repair claims
    • Enter new vendor, supplier, and crew bill information into QuickBooks to support accurate tracking of company expenses and job-related costs
    • Register customer warranties through manufacturer websites and maintain organized records of submitted warranty information
    • Assist with document requests and collection from subcontractors, vendors, crews, customers, and other business partners to support company operations and compliance needs
    • Help maintain organized digital and physical files, including customer records, project documents, invoices, warranties, permits, photos, and other job-related paperwork
    • Assist with basic data entry, document preparation, scanning, filing, copying, and other general clerical tasks as needed
    • Support Management and office staff with day-to-day administrative tasks, follow-ups, scheduling assistance, and internal communication
    • Monitor and help maintain office supplies, forms, and commonly used administrative materials to ensure the office remains organized and prepared
    • Provide general administrative support to Management as assigned, while learning company systems, procedures, and workflows
