The Administrative Supervisor leads and oversees Sunnyside Apartments' front-office, housing assignment, and package-room teams, supervising full- and part-time staff as a member of the Sunnyside Leadership Team. This role ensures residents, employees, visitors, and campus partners receive timely, professional, and consistent service; maintains effective office operations; coordinates with HR on workforce needs; oversees key communications and compliance processes; and drives initiatives to improve productivity and effectiveness across Sunnyside Apartments.

Responsibilities

Front-Office & Service Operations

  • Oversee daily front-desk operations and ensure consistent, professional customer service.
  • Establish and maintain procedures for opening and closing the office.
  • Respond to and help resolve resident, employee, visitor, and campus-partner questions or concerns.
  • Identify service trends and recommend improvements to front-office operations.
  • Serve as the primary Sunnyside Apartments contact for Commuter Services.

Staff Supervision & Development

  • Hire, onboard, train, schedule, and supervise part-time front-desk employees.
  • Directly supervise Housing Coordinators and the Package Room Supervisor.
  • Establish performance expectations and provide regular coaching, feedback, and employee development. Learn the roles to provide backup when out.
  • Conduct performance evaluations and address performance or conduct concerns in accordance with University policies.
  • Promote collaboration, accountability, and consistent service standards among supervised employees.
  • Ensure adequate staffing and operational coverage for the front desk, housing coordination functions, and package room.

Leadership & Administrative Support

  • Provide administrative support to the Director, including correspondence, scheduling, document preparation, meeting coordination, and special projects.
  • Serve as an active member of the Sunnyside Leadership Team.
  • Participate in strategic planning, policy development, operational decision-making, and cross-departmental initiatives.
  • Prepare reports, track action items, and maintain records as assigned.
  • Handle sensitive and confidential information with appropriate judgment and discretion.

Communications & Documentation

  • Oversee all shared departmental email inboxes and ensure messages are assigned, answered, and resolved promptly.
  • Develop and maintain standards for professional, accurate, and consistent written communication.
  • Maintain and coordinate updates to resident and employee handbooks, ensuring information reflects current policies, procedures, resources, and operational practices.
  • Maintain the designated Free Speech board in accordance with University guidelines and applicable requirements.

Human Resources Support

  • Provide administrative support for recruitment, hiring, onboarding, training, performance management, and employee records.
  • Assist supervisors and employees with routine human resources processes and direct complex matters to the HR representative.
  • Track required employee documentation, training, and deadlines.
  • Help ensure departmental employment practices align with University policies and procedures.

Employee Engagement & Culture

  • Coordinate employee holiday and summer celebrations, including planning, communication, logistics, and budget tracking.
  • Manage employee recognition efforts, including birthdays, service milestones, and other appropriate acknowledgments.
  • Support initiatives that promote employee engagement, appreciation, and a positive workplace culture.

Supervisor, Administration Management

Directly supervise team members in day-to-day operations, ensuring adherence to university policies and procedures. Assist in planning and implementing unit-level strategies to support academic and administrative functions. Monitor team performance metrics, provide coaching and feedback, and contribute to workforce management decisions. Collaborate with University HR to address employee concerns and align team activities with the university's mission and objectives.

  • Experience working in housing, residential services, property management, higher education, hospitality, or a related environment.
  • Experience supporting senior leaders or participating on a leadership team.
  • Familiarity with human resources procedures, policy administration, and records management.
  • Demonstrated experience improving customer-service or administrative processes.
  • Experience working effectively with individuals from varied backgrounds and perspectives.
