Vocational Rehabilitation Administrative Assistant
The Mississippi Department of Rehabilitation Services (MDRS) is a state agency dedicated to helping Mississippians with disabilities to live and work independently. MDRS serves through four major programs: Vocational Rehabilitation (VR),Vocational Rehabilitation for the Blind (VRB), Office of Special Disability Programs (OSDP), and Disability Determination Services (DDS). Services also include support through Assistive Technology, the Office of Business Development and much more. It is the mission of MDRS to provide appropriate and comprehensive services in a timely and effective manner. Programs and services assist individuals with disabilities to gain employment, retain employment, and to live independently. This position is with the Office of Vocational Rehabilitation and is administrative work performing a variety of important administrative duties in developing and carrying out support service functions within the District. Examples of work performed in this classification include, but are not limited to, the following:
- Performs administrative tasks including preparing reports, maintaining general accounts, and processing other departmental paperwork.
- Performs District caseload support services such as creating, maintaining, and reviewing technical case management forms and files for accuracy utilizing the electronic case management system
- Drafts and/or types correspondence.
- Receives and distributes mail.
- Retrieves and updates information
- Maintains calendar of events and manager's itineraries
- Maintains department files and records.
- Organizes and schedules meetings.
- Prepares and disseminates written and verbal information on projects/programs.
- Reviews the work of staff for quality and accuracy.
- Prepares and/or generates reports.
- Processes requests and requisitions.
- Prepares and maintains financial documents
- Prepares, reviews and ensures accuracy of reports on monitored services
- Completes additional duties as assigned.
- Assists the Rehabilitation Specialist through the collection, coordination, and verification of case data;
- Follows Vocational Rehabilitation fiscal policies, procedures, fee schedules and best business practices to initiate, track, and monitor consumer purchasing processes;
- Prepares financial and statistical records and reports;
- Prepares forms for referrals to for evaluations;
- Completes case documentation which includes filing consumer information and agency documents in appropriate files;
- Transcribes correspondence to consumers under the direction of the Rehabilitation Specialist;
- Schedules consumer appointments and authorizes necessary medical diagnostic examinations;

Preferred Qualifications:
- Typically requires High School Diploma or equivalent and 3-5 years of experience.
- Agency preferred qualifications: High school diploma or equivalent and at least three (3) years of full-time clerical and/or administrative work.
