The General Admin Assistant provides support to the Exec/VP/Dept. Tasks for the Administrative Assistant include but are not limited to providing clerical support, performing general administrative functions, and coordinating office meetings and operations to secure efficiency and compliance to program and organizational standards.
DUTIES AND RESPONSIBILITIES:
- Provide a welcoming environment, including but not limited to, answering all calls professionally, and timely, greeting each visitor and staff member with openness
- Receive and direct all incoming calls in a patient, professional and courteous manner
- Answer questions efficiently and direct or transfer to appropriate person as needed
- Engage actively with internal and external customers to best understand their needs and requests
- Report any repairs or maintenance issues to supervisor and submit work orders for building maintenance and repairs through the online work order system
- Open and sort all incoming mail
- Create/complete various types of correspondence as required, including but not limited to reminder letters, discharge letters, medical and/or school records requests
- File documents, both paper and electronic, using established office practices and maintain filing system
- Maintain updated email distribution lists to ensure delivery of email communications to appropriate parties
- Arrange meetings by scheduling appropriate meeting times, booking rooms, and ordering refreshments as needed
- Take notes during meetings and provide minutes as needed
- Create/update spreadsheets, records and databases, including but not limited to, personnel, and other data as required
- Order and maintain office supplies for the department
- Contact Information Technology (IT) service desk on behalf of staff and center, to address any technological issues, including but not limited to telephones, computers, networking, multifunction printers, etc.
- Perform other duties as assigned
QUALIFICATIONS, EDUCATION & EXPERIENCE:
- Associate Degree or specialized training in administrative/office work preferred
- Two (2) years’ experience in an administrative setting required, experience in a corporate/administrative setting preferred
- Experience with Microsoft Visio for drawing diagrams, org charts, process flow charts preferred. Also, experience using quality improvement tools; control charts, histograms, and run charts preferred
- Demonstrated ability to work effectively as part of a team
- Demonstrated strong attention to detail
- Demonstrated strong time management and organizational skills
- Demonstrate the ability to recommend decisions in cooperation with the direct supervision
- Demonstrated ability to anticipate future needed changes or identify problem areas and take effective actions
- Ability to work in a fast-paced environment and manage and prioritize multiple, often competing, priorities
- Must possess excellent customer interaction, collaboration, presentation, and written and verbal communication skills and strong organizational skills
- Demonstrated intermediate experience with Microsoft Office applications, including Word, Excel, Outlook; Elwyn electronic health records system, electronic billing systems and Microsoft PowerPoint
- Experience using Electronic Health Record (EHR) / Electronic Medical Record (EMR) preferred
- Must possess a current, valid driver’s license in the state of residence, have a minimum of two (2) years of driving experience within the United States, and have an acceptable driving record, which will be assessed through a review of the Division of Motor Vehicles (DMV) record, in accordance with Elwyn’s Vehicle Operation and Driver’s Code Policy 905. For individuals licensed for more than two (2) years, the driving record will be reviewed for acceptability based on the past three (3) years. Additionally, employees required to drive as part of their job may need to successfully complete and pass an Elwyn Road Test before being authorized to drive.
