Administrative Assistant - Code Enforcement

Location: City Hall, Jonesboro, Arkansas
Safety Sensitive: Yes. This position is safety sensitive due to this position's need to access the National Crime Index Database. Because of this, a pre-employment drug screen and NCIC background check will be required.
Position Summary:
This Safety-Sensitive (SS) position provides administrative and clerical support to the Code Enforcement Division. This position assists the Director and code enforcement officers by performing a wide variety of administrative tasks, maintaining accurate records, and ensuring the efficient operation of the office. The position requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment.
Essential Duties and Responsibilities:
- Perform general office duties including data entry, record keeping, filing, and correspondence.
- Answer and route incoming phone calls; provide information and assistance to the public, contractors, and other city departments.
- Process incoming and outgoing certified and regular mail, including lien notifications and legal documents.
- Assist in the preparation and tracking of property liens, abatements, and compliance cases.
- Maintain and update code enforcement databases, case files, and statistical reports.
- Performs queries via NCIC
- Assist in compiling and reporting monthly, quarterly, and annual statistical data.
- Schedule inspections, meetings, and hearings as needed.
- Prepare, proofread, and distribute official notices, letters, and reports.
- Maintain confidentiality and professionalism when handling sensitive or legal information.
- Operate standard office equipment including computers, copiers, scanners, and printers.
- Provide administrative support for public hearings, code board meetings, and community outreach events.
- Perform other duties as assigned by the Director of Code Enforcement.
Minimum Qualifications:
- High school diploma or GED equivalent.
- Ability to read, write, and perform basic mathematical calculations accurately.
- Strong computer skills, including proficiency with Microsoft Office (Word, Excel, Outlook) and the ability to learn specialized software systems.
- Ability to learn and apply municipal and state codes, ordinances, and department procedures.
- Excellent verbal and written communication skills; ability to communicate effectively in person, by phone, and in writing.
- Strong organizational and multi-tasking abilities with attention to detail.
- Professional and courteous demeanor when dealing with the public and coworkers.
- Possess a valid driver's license with a good driving history.
- Must be at least 21 years of age.
- Successful completion of a background check and drug screening.
- No felony convictions or Class A misdemeanor offenses.
Preferred Qualifications:
- Two (2) years of administrative, clerical, or customer service experience, preferably in a municipal or government setting.
- Experience with lien processing, permit tracking, or code enforcement operations.
- Knowledge of municipal or legal terminology and procedures.
- Bilingual abilities (English/Spanish) are a plus.
Working Conditions:
- Work is performed primarily in an office environment with frequent public contact.
- May occasionally require field visits or attendance at evening meetings.
This position is responsible for assisting the Director and other members of the code enforcement department with the administrative duties such as, phones, work orders, mail, computer data entry, etc.
