Accounts Receivable & Payroll Specialist

We are looking for an intermediate level accounting professional to take ownership of our financial operations and grow with us. This is a full-time, in-person position reporting directly to the Controller. You will be the primary accounting resource for our company, working across payroll, job costing, contract billing, and financial reporting. This role requires someone who works with precision and takes personal accountability for the accuracy of their work. In construction accounting, details matter - an unbilled change order, a missed lien release, or an error on a payment application has real consequences. The right person understands this and takes pride in getting it right every time. You will also provide guidance to others in the office on accounting-related processes and work closely with the Controller on implementing process improvements. For the right person, this role has a clear path to full ownership of the accounting department. 

Key Responsibilities:

• Process full-cycle payroll, including UNION payroll and certified payroll reporting
• Manage job costing, ensuring accurate tracking and verification of project costs
• Handle contract billing including progress billing (payment applications) and lien releases
• Prepare and post journal entries with accuracy and supporting documentation
• Perform monthly close and prepare financial statements
• Process and file quarterly sales tax returns
• Assist with inventory-related entries and adjustments
• Support and eventually take ownership of annual 1099 processing and workers compensation audits
• Assist with clean-up projects and process improvement initiatives
• Provide accounting guidance to other team members as needed
• Collaborate with the Controller on financial reporting and operational improvements
• Adapt to additional responsibilities as the role and business evolve

Key Qualifications:

Experience 

• 4 to 6 years of accounting experience, with at least 3 to 5 years in a construction, trades, or contractor environment
• Demonstrated experience with union payroll, certified payroll, and job costing
• Experience with contract billing, payment applications, and lien releases
• Working knowledge of GAAP and construction accounting practices
• Associate's degree or higher in Accounting or Business Administration preferred; equivalent experience will be considered

Software

• Sage 100 Contractor experience strongly preferred; comparable construction accounting software considered
• Proficiency in Microsoft Office, including Excel

• Exceptional attention to detail, this is non-negotiable
• Ability to follow written procedures precisely and completely, every time, without exception
• Comfortable working within a structured, process-driven environment where procedures exist for a reason
• Self-sufficient and accountable; you proof your own work before it leaves your desk
• You do not consider a task complete until it has been verified against the required steps

Schedule:

Monday through Friday, 7:30 am to 4:30 pm. This is a fully in-person position at our San Carlos office. Remote work is not available for this role.
