Accounts Payable Specialist

Responsible for supporting all aspects of the accounts payable functions including receiving vendor invoices, securing proper approvals, managing weekly check runs, matching customer purchase orders to company invoices, providing audit support, processing customer credit card payments, and HIPAA compliance reviews. The position reports to the Assistant Controller.

Educational Requirements:

High School Diploma (required), Associates or Bachelor’s Degree – Finance or Accounting related field (preferred).

Experience Requirements:

Minimum 5 years’ experience in an Accounting Services environment.

Travel requirements: None

• Manage approval of vendor invoices, filing of invoices, and maintaining of vendor information in system
• Prepare and enter vouchers in system for payment
• Prepare and mails accounts payable checks according to company procedures
• Print all accounts payable reports
• Assist with monthly closing procedures for accounts payable
• Monitor all paperwork, invoices, correspondence and verbal communication with vendors
• Research and respond to all accounts payable inquiries in a prompt manner
• Process customer invoices via mail and e-mail as applicable
• Support 1099 reporting and communication
• Set up new vendors and maintain existing vendor information
• Provide documentation supporting customer and corporate audit requests
• Review invoices and system records for HIPAA compliance
• Manage POS mailbox, match customer purchase orders to company invoices, enter PO numbers into Business Central
• Report missing purchase orders for distribution to sales
• Process customer credit card and 3rd party platform payments
• Provide vacation backup assistance for department team members
