Accounts Payable Clerk

About the Role

Our client, a medical center in Rancho Mirage, CA, is seeking an experienced Accounts Payable Clerk for an initial 3-month contract with the potential for extension.  

The ideal candidate will have strong accounts payable experience, excellent attention to detail, and the ability to accurately process invoices, maintain vendor accounts, resolve discrepancies, and ensure expenses are properly coded and recorded.

Responsibilities

• Prepare, review, and enter invoices, ensuring vendor information, invoice numbers, dollar amounts, addresses, and supporting information are accurate.
• Analyze and code invoices and supporting documentation to the appropriate General Ledger (GL) accounts.
• Maintain recurring payable vendor accounts and ensure automatic payments are processed accurately and on time.
• Record accruals to ensure expenses are posted to the correct GL account, fiscal year, and fiscal period.
• Maintain accurate 1099 vendor information and payment details to support annual filings.
• Track and record California Form 587 requirements for quarterly and annual reporting.
• Manage assigned vendor accounts and process payments according to established payment terms and department guidelines.
• Process properly executed in-house check requests within established timelines.
• Research and resolve vendor discrepancies and payment issues.
• Maintain confidentiality and accuracy when handling financial and vendor information.
• Follow established compliance policies, procedures, and the organization's Code of Conduct.
• Learn new processes quickly and perform additional duties as assigned.

Qualifications

• Minimum 3 years of accounts payable experience in a centralized purchasing and receiving environment.
• High school diploma, GED, or higher-level degree.
• Strong attention to detail and commitment to accuracy.
• Proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
• Ability to use a 10-key by touch.
• Typing speed of approximately 40–50 WPM.
• Strong written and verbal communication skills.
• Ability to work effectively in a team environment.
• Ability to maintain confidentiality.

Preferred Experience

• Previous healthcare, hospital, or medical center experience.
