Accounting Specialist

Overview:

StaffBuffalo is working with a growing organization to hire an Accounting Specialist, paying $25-$30/hour depending on education and experience. This role will support core accounting functions, organized financial records, reporting, auditing, billing, and administrative needs while working closely with financial leadership.

The Accounting Specialist will help support Accounts Payable and Accounts Receivable, customer and vendor account setup, billing and invoicing, tax documentation, project records, and financial reporting. The team currently uses Excel and QuickBooks and is building out internal software and platforms, making flexibility, curiosity, and a willingness to improve systems especially valuable.

This is an in-office, Monday-Friday opportunity with a collaborative team that has grown significantly and is thoughtful about each new hire. The organization is looking for a long-term team member who is excited to contribute to a growing business, take ownership of details, and potentially grow with the finance function over time.

         Responsibilities:

  • Support Accounts Receivable and Accounts Payable activities, including billing, invoicing, and collaboration with Operations and Sales.
  • Set up new customer and vendor accounts accurately and promptly, maintaining complete financial and contact information.
  • Collect, maintain, and provide tax exemption certificates, and support sales tax documentation and annual IRS and New York State filings as requested.
  • Perform project-specific audits, support third-party audits and internal financial reviews, and assist with quarterly financial statements and related reporting.
  • Organize and maintain lien waivers, certificates of insurance, tax certificates, and other critical project and financial documentation.
  • Use QuickBooks, Excel, and Microsoft Office tools to support accounting operations, while helping the team improve its use of current systems and adopt new internal software and platforms.
  • Provide administrative support as needed, including documentation management and triaging inbound phone calls.

    Qualifications:

  • Minimum of an associate degree in accounting, finance, business administration, or a related field.
  • Minimum of 1 year of experience in accounting, finance, business administration, or a related field.
  • QuickBooks experience and proficiency in Excel and other Microsoft Office applications.
  • Strong accounting and bookkeeping skills with a high level of attention to detail and accuracy.
  • Self-starter who collaborates well, follows through on tasks, and communicates effectively with customers and team members.
  • Ability to work in a fast-paced environment while maintaining high-quality work and staying organized.
  • Flexible, team-oriented approach with an interest in learning new software, improving processes, and taking on diverse tasks.
