This role sits at the center of how our organization runs, handling everything from payroll and accounts payable to trust account reconciliations and client fund management, with a smaller portion of the work supporting a related property entity. Job DetailsManage day to day bookkeeping and accounting
- Process and oversee payroll, maintaining accurate records
- Manage accounts payable, ensuring vendors and bills are paid accurately and on time
- Maintain and reconcile operating, trust, and other bank accounts
- Handle the accounting side of client disbursements, including reviewing figures and preparing disbursement records
- Track distributions, fees, related costs, and other disbursement related payments
- Coordinate with internal stakeholders to confirm funds are properly accounted for before disbursement
- Maintain client fund records and perform timely bank and trust reconciliations
- Track expenses, credit cards, reimbursements, and vendor payments
- Maintain organized invoices, receipts, and supporting financial documentation
- Assist with month end and year end closing, and prepare financial reports for ownership
- Coordinate with the organization's CPA, payroll provider, and banks
- Help build and maintain accounting procedures and internal financial controls
- Record and track rental income, monitor payments and outstanding balances
- Pay property related bills and expenses, including mortgages, utilities, insurance, taxes, and repairs
- Maintain accounting records by property and reconcile property bank and credit card accounts
- Maintain vendor invoices and supporting documentation
- Prepare basic income and expense reporting by property, and keep records organized for year end tax prep
Qualifications:
- Minimum 3 to 5 years of bookkeeping, accounting, or accounting management experience
- Strong understanding of bookkeeping and accounting principles
- Proficiency with QuickBooks
- Experience processing payroll and accounts payable
- Strong bank reconciliation and Excel skills
- Ability to produce and understand financial reports
- Exceptional attention to detail, with the ability to identify discrepancies rather than just process transactions
- Strong organizational and recordkeeping skills
- Ability to manage multiple bank accounts and business entities
- Ability to work independently and take ownership of the accounting function
- High degree of discretion, integrity, and confidentiality given the sensitivity of the funds involved
Preferred:
- Accounting or bookkeeping experience within a professional services organization
- Experience with disbursement or distribution accounting
- Trust or escrow accounting and reconciliation experience
- Experience tracking fees, related costs, and client distributions
- Rental property or real estate bookkeeping experience
- Experience working directly with attorneys, business owners, CPAs, banks, and payroll providers
