DESCRIPTION:

The Business & Accounting Manager is a highly visible leadership role responsible for overseeing accounting operations, financial reporting, business analysis, office administration, and team development. This position works closely with the Director of Business & Accounting and Executive Leadership Team to ensure operational excellence, financial accuracy, process improvement, and achievement of company objectives.

The ideal candidate possesses strong accounting knowledge, advanced QuickBooks experience, and the ability to lead and develop team members while supporting a growing organization with approximately $25M+ in annual revenue.

The Business & Accounting Manager will work collaboratively across multiple departments and all levels of the organization, providing leadership, financial insights, and operational support that contribute to the company's continued growth and success.

CORE ROLE CONCENTRATION(S):

LEADERSHIP & TEAM DEVELOPMENT

  • Work closely with Accounting and Office Team Members to establish priorities, monitor progress toward goals, and track department performance.
  • Lead, mentor, and develop Accounting and Office personnel while fostering a positive, accountable, and growth-oriented culture.
  • Ensure all accounting and administrative requirements are completed accurately and timely on a daily, weekly, and monthly basis.
  • Provide coaching and development opportunities to support employee growth and advancement within the organization.
  • Participate in recruiting, interviewing, hiring, onboarding, performance management, and progressive discipline.
  • Assess operational and accounting challenges, identify root causes, develop solutions, and drive implementation.
  • Demonstrate flexibility and adaptability while managing multiple priorities and business needs simultaneously.
  • Positively influence others to achieve organizational objectives and support company core values.
  • Assist with KPI development, implementation, monitoring, and continuous improvement initiatives.
  • Partner with leadership to develop and improve accounting processes, internal controls, and operational efficiencies.

   ACCOUNTING & FINANCIAL MANAGEMENT

  • Oversee daily accounting operations, including Accounts Receivable, Accounts Payable, Purchase Orders, and general accounting functions.
  • Mentor and support AR, AP, and PO team members while ensuring compliance with established procedures.
  • Manage month-end and year-end close processes.
  • Prepare, review, and analyze monthly financial statements, including Profit & Loss, Balance Sheet, and Cash Flow reports.
  • Ensure financial information is accurate, timely, and properly maintained within QuickBooks and other business systems.
  • Review and approve account reconciliations, journal entries, and supporting schedules.
  • Schedule and oversee check runs, vendor payments, and accounting deadlines.
  • Manage company credit card reconciliations and expense reporting processes.
  • Oversee monthly audits and ensure adherence to accounting best practices.
  • Process and review sales tax reporting and filings.
  • Maintain confidential client, vendor, employee, and company financial information.
  • Resolve escalated accounting issues and identify opportunities for process improvements.
  • Support annual budgeting, forecasting, and financial planning initiatives.
  • Assist executive leadership with financial analysis and strategic decision-making.
  • Develop and maintain accounting procedures that support organizational scalability and growth.

FINANCIAL REPORTING & BUSINESS ANALYSIS

  • Prepare recurring financial, operational, and executive-level reports.
  • Develop and maintain KPI scorecards, dashboards, and performance metrics.
  • Analyze revenue, expenses, profitability, and key business trends.
  • Partner with department leaders to create meaningful reporting that drives business decisions.
  • Present financial information and recommendations clearly to leadership teams.
  • Evaluate business performance against goals, budgets, and forecasts.
  • Identify opportunities for increased efficiency, cost savings, and operational improvements.
  • Lead assigned accounting, reporting, and business improvement initiatives from development through execution.
  • Perform ad hoc financial analysis and special projects as required.

OFFICE MANAGEMENT

  • Responsible for overall organization and management of office equipment, supplies, and administrative resources.
  • Manage confidential correspondence related to accidents, incidents, claims, and other company matters.
  • Coordinate business-related correspondence with customers, vendors, government agencies, municipalities, and regulatory entities.
  • Oversee office-related technical support requests and vendor relationships.
  • Demonstrate professionalism and responsiveness when supporting internal and external stakeholders.
  • Provide backup phone support and administrative assistance as needed.

  • Excellent verbal and written communication skills.
  • Advanced proficiency in QuickBooks, including financial reporting, account reconciliations, month-end close, and data analysis.
  • Advanced Microsoft Excel skills, including reporting, formulas, pivots, and financial analysis.
  • Proficiency with Microsoft Office applications, Outlook, Paylocity, and other business software platforms.
  • Ability to prepare, analyze, and present financial and operational reports.
  • Strong attention to detail and commitment to accuracy.
  • Ability to lead process improvement initiatives and implement effective solutions.
  • Experience working with KPIs, dashboards, and business performance metrics.

Education

  • Bachelor's Degree in Accounting, Finance, Business Administration, or related field preferred.

Experience

  • 5+ years of progressive accounting experience required.
  • 2+ years of accounting leadership or supervisory experience preferred.
  • Experience supporting accounting operations for a company with approximately $25M+ in annual revenue preferred.
  • 5+ years of QuickBooks experience with responsibility for financial reporting and month-end close preferred. NetSuite experience a plus.
  • 5+ years of Microsoft Office experience required.
  • Experience managing Accounts Receivable, Accounts Payable, reconciliations, financial reporting, and month-end close required.
  • Experience preparing executive-level reports and business analysis preferred.
