Accounting Clerk
Functional Title: Accounting Clerk
Classification: Hourly Non-Exempt
Division: Financial Affairs
Department: Business Office
Reports To: Director of Accounting
Position Level: Entry-level
Primary Function: The Accounting Clerk processes and maintains financial transactions and records, assists with reconciliations, supports routine accounting workflows, and helps ensure financial information is complete, accurate, timely, and properly documented. The position works across established accounting processes and uses university financial systems to support dependable day-to-day operations.
Essential Duties and Responsibilities:
- Perform routine bookkeeping activities and maintain financial records in accordance with established procedures and internal controls.
- Process routine accounting transactions and maintain supporting documentation.
- Assist with general ledger activities, account coding, journal entry preparation and support, reconciliations, and transaction review.
- Review financial documents for completeness, accuracy, appropriate authorization, and required supporting documentation.
- Enter, update, and retrieve financial information in university accounting and ERP systems.
- Prepare routine reports, schedules, spreadsheets, and account detail to support accounting operations.
- Assist with month-end and year-end activities, audit support, and related accounting processes.
- Communicate professionally with employees, departments, vendors, and other stakeholders regarding routine accounting questions and documentation needs.
- Maintain organized electronic and physical financial records in accordance with retention and confidentiality requirements.
- Support process documentation, system testing, data validation, and continuous improvement initiatives.
- Cross-train on accounting functions to strengthen departmental coverage and operational continuity.
- Perform other related duties as assigned.
Required Skills/Abilities:
- Working knowledge of basic bookkeeping and accounting principles.
- Strong attention to detail, organization, accuracy, and follow-through.
- Ability to reconcile information, identify discrepancies, and research routine issues.
- Effective written and verbal communication and customer-service skills.
- Ability to manage recurring deadlines, maintain confidentiality, and work collaboratively.
- Proficient with Microsoft Office Suite or related software.
Education and Experience:
- High school diploma or GED.
- Prior bookkeeping, accounting support, or closely related experience.
- Experience using accounting, payroll, or other related systems.
- Demonstrated ability to work accurately with numbers, financial records, and detailed documentation.
Physical Requirements:
While performing the essential duties of this job, the employee will be required to do the following:
- Be ambulatory around campus and in buildings.
- Required to regularly sit and stand.
- Frequently use wrists, hands, and/or fingers to make small repetitive movements such as typing, distributing mail, and picking up small objects.
- Ability to talk frequently to convey detailed and/or important instructions or ideas accurately, loudly, or quickly.
- Be able to hear average or normal conversations and receive verbal information.
- Occasionally lift packages and/or move heavy objects, 25+ lbs.
