Position Overview

Under minimal supervision, performs non-standard clerical accounting work including processing specialized accounting transactions, completing reconciliations, preparing monthly reports, and trouble-shooting problems or unusual questions. Serves as a specialized resource for the department in matters related to accounting system applications. This position reports to the Asssistant Chief Deputy of the Municipal Courts Division.

Summary of Job Duties

Specific work will vary based on the assignment but will include the following types of work:

  • Complete daily reconciliations of all counter and cash drawers, including reviewing cash journals for accuracy, making necessary corrections, sorting payments by appropriate bank account and preparing the daily bank deposits.
  • Complete monthly, quarterly and year-end bank reconciliations; verify the accuracy of journals and correct errors as necessary; reconcile all journals.
  • Prepare regular reports on disbursements for other agencies; verify accuracy of each journal; prepare checks for other agencies; prepare necessary forms and reports for inclusion; submit reports and checks to supervisor for review.
  • Prepare standard and non-standard accounting reports for management, the Montgomery County Auditor, and the Clerk of Courts; collect and verify the accuracy of data; respond to inquiries regarding reports.
  • Provide technical and specialized support on the courts accounting application, including trouble-shooting common problems and assisting others in understanding how the system works; develop and modify desktop applications using standard spreadsheet, database, or word processing software packages; create specialized spreadsheets using appropriate calculations to produce reports and summaries.
  • Provide training in unit practices, procedures, and standards for new employees; review work of Accounting Clerk I for accuracy; serve as a point-person for customer inquiries; reviews errors with the Accounting Clerk I to provide ongoing training and feedback.
  • Provide assistance to colleagues in the department when necessary due to scheduling, volume or staffing requirements.
  • Other duties as assigned.

Minimum Qualifications and Requirements

High school diploma or equivalent

  • AND-

Minimum of one (1) year of clerical accounting experience in a similar environment

Supplemental Information

KNOWLEDGE, SKILLS AND ABILITIES

  • Proficiency in working with numbers and completing accounting transactions
  • Proficiency with court accounting application and desktop spreadsheet applications
  • Ability to run standard and special reports, and to analyze and correct output for management review
  • Keyboarding skills to quickly and accurately enter, access, update, and manipulate data

Seasonal Employees: Benefits include Sick Leave accrued at 4.6 hours for every eighty 80 hours in active

pay status. Seasonal employees scheduled to work 40 hours during their period of employment will accrue vacation in the same manner as regular full-time employees and can use their vacation after completion of twenty-six (26) bi-weekly pay periods in active pay status. Part-time Seasonal employees (scheduled to work less than 40 hours) do not accrue vacation.

Intermittent and Temporary Employees: Long-Term Sick Leave accrual is based on hours worked.
