Description

The Accounting Assistant, Student Accounts performs routine work in the Business Services department, working with students and student accounts to research and provide customer service related to student charges. In addition, this position works with outside vendors involving student accounts and collections. General policies can be applied to most work situations; however, moderate decision-making is required under limited supervision.

Essential Functions/Duties

  • Perform entry of Student contracts and billings into the administrative system. Monitor these billings regularly for accuracy.
  • Follow standard billing procedures for student invoices.
  • Ensure accuracy of bills and dunning letters, prior to mailing. Research any discrepancies before bills or dunning letters are mailed.
  • Provide customer service research and follow-up on questions regarding student invoices and dunning letters.
  • Provide follow-up calls to students regarding payments and due dates.
  • Monitor the aging of the student accounts receivable to enhance the payment of invoices due to the college.
  • Provide Input for training of college personnel regarding invoicing procedures.
  • Attend seminars/classes as needed for professional development. Including consortium user group meetings as needed.
  • Maintain regular attendance/punctuality.
  • Performs other duties as assigned.

Required Skills

  • General accounting knowledge required.
  • Experience with Microsoft Excel and Word required.
  • The ability to establish an effective rapport with students, internal and external stakeholders, administrators, student financial services, College staff, and third-party vendors.
  • Excellent organizational skills, with special attention to detail. Mistakes can result in misstatement of receivable balances on the financial statements.
  • Excellent oral and written communications skills.
  • Ability to work well with others.
  • General office skills.
  • Ability to maintain confidential information.
  • Requires tact in discussing problems and presenting data.
  • Strong business aptitude.
  • Maintain professional appearance.
  • Knowledge and experience with reconciliations required.
  • Ability to work with people in pressure situations.

Working Conditions/Additional Information

  • This is an on-site position at our Winter Haven campus. (No remote or hybrid availability).
  • During peak periods, additional hours may be required.
  • Must be able to travel occasionally to external training facilities/seminars. May require an overnight stay.

Salary and Benefits Information

  • This position is level C13.

Required Education

  • A high school diploma or equivalent is required.
  • An Associate degree in accounting or another related field is preferred.

Required Experience:

  • Two years of experience in Accounts Receivable.
