Job Overview:

The Accounting Analyst provides hands-on accounting and administrative support to the Accounting Manager and General Manager, assisting with day-to-day financial operations while helping ensure the accuracy, timeliness, and integrity of the Association''s financial records. The position supports accounts payable and receivable administration, financial reporting, budget monitoring, reserve tracking, month-end and year-end accounting processes, audit preparation, records management, and general administrative functions.

This position serves as a key resource for maintaining organized accounting operations, preparing financial information for management, committees, and the Board of Directors, and providing cross-functional support to help ensure continuity and efficiency within the Association''s business operations. The role works closely with Association leadership, the Finance Advisory Committee, and FirstService Residential Corporate Accounting.

Compensation: $70,304 - $75,000/Yr

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client''s property, the salary or wage will also be premised upon the client''s directive. The base pay range is subject to change and may be modified in the future.

Job Responsibilities:

Accounting Operations

  • Process and maintain accounts payable and accounts receivable transactions.
  • Assist with cash receipts, deposits, account coding, and invoice processing.
  • Review vendor invoices and supporting documentation for accuracy and completeness.
  • Coordinate new vendor setup and maintain vendor records.
  • Assist with general ledger maintenance and account reconciliations.
  • Prepare journal entries and supporting schedules as directed by the Accounting Manager.
  • Support month-end and year-end closing activities.
  • Maintain organized accounting files and financial records.

Financial Analysis & Reporting

  • Assist in preparing monthly, quarterly, and annual financial reports.
  • Monitor budget-to-actual performance and identify significant variances.
  • Compile financial data and supporting schedules for management review.
  • Assist with preparation of:
  • Monthly variance reports
  • Quarterly financial summaries
  • Year-to-date budget tracking reports
  • Delinquency and collection reports
  • Reserve expenditure reports
  • Key performance metrics and operational reporting
  • Support financial analysis projects and special assignments.

Budget Administration

  • Assist with the preparation and coordination of the Association''s annual operating budget.
  • Monitor budget activity and expenditures throughout the fiscal year.
  • Maintain budget worksheets, schedules, and supporting documentation.
  • Assist departments with budget-related information requests.

Reserve & Asset Management

  • Maintain reserve component schedules and supporting documentation.
  • Track approved reserve expenditures and Reserve Expenditure Authorizations (REAs).
  • Assist with annual reserve study updates and reserve project reporting.
  • Help maintain fixed asset and capital project records.

Audit & Compliance

  • Assist the Accounting Manager with annual audit preparation and coordination.
  • Assemble audit schedules, supporting documentation, and requested financial records.
  • Support compliance with Association governing documents, accounting standards, and applicable California regulations.
  • Maintain financial and administrative records in accordance with retention policies.

Administrative Support

  • Assist with preparation of Finance Advisory Committee and Board meeting materials.
  • Compile financial reports, agendas, exhibits, and presentation materials.
  • Maintain electronic and physical accounting records.
  • Assist with loan, special assessment, and investment documentation as required.
  • Coordinate document requests and provide administrative support to the Accounting Manager and General Manager.
  • Support annual elections, special projects, and community initiatives as assigned.

Customer & Owner Account Support

  • Assist with homeowner account research and inquiries.
  • Monitor delinquency reports and prepare follow-up documentation.
  • Coordinate with collections professionals, legal counsel, and management regarding account status updates.
  • Maintain accurate owner account records and documentation.

Additional Responsibilities

Skills & Qualifications:

  • Strong proficiency in Microsoft Excel, including formulas, pivot tables, sorting, filtering, and reporting functions.
  • Proficiency in Microsoft Word, Outlook, and PowerPoint.
  • Experience with accounting and financial management software.
  • Ability to prepare clear, concise financial reports and supporting schedules.
  • Strong data entry, records management, and document organization skills.
  • Working knowledge of accounting principles and financial reporting practices.
  • Strong analytical and problem-solving skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong verbal and written communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to work independently while collaborating effectively with management, committees, and vendors.

Education & Experience

  • Associate''s or Bachelor''s degree in Accounting, Finance, Business Administration, or a related field preferred.
  • Minimum of three (3) to five (5) years of progressively responsible accounting, bookkeeping, or financial administration experience.
  • Experience with accounts payable, accounts receivable, account reconciliations, and financial reporting required.
  • Experience in homeowners associations, community management, property management, hospitality, or related industries is preferred.
  • Professional accounting certifications are a plus but not required.
