Job Description

Department: Business Office

General Statement of Job

The Accountant II oversees various accounting functions in the Grant Accounting area of the Business Office. Responsible for all review and maintenance of post-award financial functions for grant funds by assisting the Accounting Group Supervisor with review of accounts payable, accounts receivable, payroll, and tuition awards financial analysis, financial statement preparation, financial audits, and accounting system maintenance.

Specific Duties and Responsibilities

Essential Functions:

  • Manages grant accounting related post-award functions, including budget and expense analysis, periodic invoicing, labor distribution changes, reconciliations, re-budgeting and grant closeout functions as required.
  • Prepare accurate and timely financial federal, state, local, and private reports to grantors as required.
  • Be the Primary fiscal contact for sub-recipients, understand specific grant requirements, and ensure the grant agreements are met.
  • Prepare journal entries to recognize grant receivable and revenue and reclassify salary expenses from the Unrestricted fund to the Restricted Grant fund, prepare assigned monthly reconciliations, and prepare monthly invoices by the required due dates requesting reimbursement payments from the funding agencies.
  • Support program staff as necessary in delivering grant requirements.
  • Maintain up-to-date knowledge of the organization's funding sources, grants and contracts, and ensure implementation of best practices.
  • Prepares audit documentation as needed for internal and external audits such as financial reports, financial notes, and fraud surveys.
  • Ensure adherence to state and federal guidelines, laws and regulations, and College policies procedures, and guidelines.
  • Assigns work to staff members within the Grant Accounting area of the Business Office, as needed.
  • Serves as liaison between the principal investigators, financial managers, and granting agencies concerning financial accounting issues, as needed.
  • Performs other duties as assigned.

Required Education and Experience

  • Bachelor's degree in Accounting or related field required.
  • At least three (3) years of accounting experience required.
  • Experience with a financial records system, preferred.
  • Experience in a higher education institution, preferred.

Required Knowledge, Skills and Abilities

  • Excellent oral, written and interpersonal communication skills.
  • Strong computer skills with knowledge of Microsoft Office including, but not limited to, Word, Excel, PowerPoint, and Outlook, the Windows environment, and internet research skills.
  • Proficient in preparation of worksheets using Excel.
  • Familiarity with accounting functions and compliance with laws pertaining to assigned functions.
  • Proficient with ten key by touch.
  • Ability to prioritize, organize, and complete multiple tasks with attention to detail, within stated deadlines.
  • Ability to adapt to constant change and periods of fast-paced, high-intensity work situations.
  • Ability to work evenings and/or weekends as needed; willing to travel
