Primary Purpose of the Organizational Unit

In support of the mission of UNC Greensboro, the University Registrar's Office fosters student success and cultivates exemplary student experiences for all University constituents related to academic records, policies, and regulations.

Position Summary

Reporting to the Assistant Registrar, the Academic Records Specialist is responsible for degree clearance support; tracking of degree progress, certification of graduation for undergraduate students; and serves as a point of contact for the degree clearance area. This position communicates with students, advisors, and other faculty and staff to ensure that graduation applicants have met the requirements for their degrees. This position also assists students needing notarization of documents for the purpose of obtaining an apostille and serves as a backup for ordering diplomas. Additionally, this position will collaborate with the Degree Works team to process curriculum modifications and input foreign language placement test scores and waivers for students.

This position works collaboratively with Admissions and Transfer Articulation and is responsible for the daily management of the processes associated with Degree Works and graduation clearance for students. This position is responsible for maintaining current knowledge of academic courses, program requirements, and University Catalog policies at UNC Greensboro. The Academic Records Specialist works with others to implement institutional strategic initiatives and ensure compliance with statewide policies and initiatives. This position will work closely with faculty and academic affairs staff to develop proficiency in college academic requirements and to support strategic measures with the UNC System.

Minimum Qualifications

  • BACHELOR'S DEGREE; OR EQUIVALENT COMBINATION OF TRAINING AND EXPERIENCE. ALL DEGREES MUST BE RECEIVED FROM APPROPRIATELY ACCREDITED INSTITUTIONS.

Additional Required Certifications, Licensures, and Certificates Preferred Qualifications

  • Experience in a registrar's, admissions, or academic services environment.
  • Experience using student information systems (Banner 9) and Degree Works.
  • Strong commitment for innovation as demonstrated by an ability to be proactive, dynamic, forward-thinking, strategic and collaborative.
  • Demonstrated critical thinking, analytical, and problem-solving skills.

Degree Works Curriculum Modifications

Essential Tasks

  • Process substitutions/waivers associated with student curriculum modification forms. Resolve issues through collaboration with advising team. Ensure substitutions/waivers are processed in a timely manner.
  • Run/reconcile unhooked exception reports.
  • Run monthly curriculum modification count report.
  • Compile annual Course Driven Program Revision (CDPR) report.
  • Assist with facilitating training workshops and creating user documentation/videos.
  • Document/maintain internal process documentation related to functional responsibilities.
  • Establish/maintain communication with user community.

Degree Clearance Support

Essential Tasks

  • Track degree progress and certify graduation for undergraduate students.
  • Track and certify awarding of pre-baccalaureate certificates.
  • Evaluate degree audit, assess missing requirements, and provide solutions to resolve outstanding issues.
  • Respond to emails via the generic email account.
  • Provide knowledgeable support through the degree clearance/pre-bacc awarding process to make expectations and requirements easily understandable.
  • Navigate each individual student situation by applying a complex set of academic policies and procedures, while maintaining a seamless student experience.
  • Provide expertise and support to students, faculty, and staff to resolve outstanding issues and make decisions around applying program rules in non-standard situations.
  • Maintain current knowledge of Banner system technical releases and implications of releases on business processes and assist with Banner testing.
  • Assist with training/mentoring new staff in the area.
  • Assist with analyzing current business processes and existing policies and make recommendations to drive continuous improvement and maximize resources in the graduation clearance area.
  • Assist with maintaining standard procedures/documentation for degree clearance

  • Assist with special projects.
  • Provide customer service via frontline support and respond to emails via generic "registrars" email account during peak peri.
