Location
Our West Campus is located at 2400 Gillionville Road, Albany, GA 31707. Our East Campus is located at 504 College Drive, Albany, GA 31705. The Human Resources office for both campuses is located on the West Campus in Building K, Suite 111.
Job Summary
The Academic Advising Desk Assistant serves as the first point of contact for students, faculty, staff, and visitors entering the Office of Academic Advising. This position provides administrative, clerical, and customer service support while contributing to the efficient daily operation of the office. The Academic Advising Assistant plays a vital role in creating a welcoming, student-centered environment by demonstrating professionalism, confidentiality, and exceptional customer service. The desk assistant will be working under the supervision of the academic advising coordinator or designated professional staff member; the student assistant performs a variety of front office and administrative functions while supporting departmental initiatives and special projects. This position is performed in a professional office environment requiring frequent interaction with students, faculty, staff, and campus visitors. The employee may occasionally transport documents or materials between university departments and may be assigned to work at alternate campus locations based on operational needs. The Academic Advising Assistant supports the mission of the Office of Academic Advising by providing exceptional customer service, maintaining efficient office operations, and contributing to a student-focused environment that promotes academic success, professionalism, excellence, and institutional effectiveness.
Responsibilities
Serve as the primary receptionist by greeting students, faculty, staff, and visitors in a professional and courteous manner.
Answer and manage a multi-line telephone system, directing calls and responding to general inquiries.
Schedule, confirm, and manage academic advising appointments using university scheduling systems.
Provide accurate information regarding advising services, registration processes, and office procedures.
Maintain student records, files, and departmental databases while ensuring confidentiality of student information.
Prepare correspondence, reports, forms, copies, and other office documents as requested.
Distribute incoming mail and prepare outgoing mail and campus deliveries.
Deliver and retrieve documents and materials from various campus departments as needed.
Assist professional staff with student outreach initiatives, orientation programs, registration events, and other departmental activities.
Monitor and maintain the appearance and organization of the reception area and common office spaces.
Assist with data entry, record maintenance, filing, and other administrative projects.
Build and maintain departmental records and assist with document management.
Support special projects and perform operational duties assigned by the supervisor.
Work at alternate campus locations when departmental needs are required.
Perform other related duties as assigned.
Required Qualifications
Current Albany State University student in good academic standing.
Excellent interpersonal, verbal, and written communication skills.
Strong customer service skills with the ability to interact professionally with diverse populations.
Working knowledge of Microsoft Office Suite (Word, Excel, Outlook, and Teams).
Ability to maintain confidentiality and exercise sound judgment when handling student information.
Strong organizational skills with attention to detail.
Ability to prioritize multiple tasks in a fast-paced office environment.
Dependable, punctual, and able to work independently with minimal supervision.
