The Division of Finance and Administration provides a wide range of support functions that are vital to the operation of the University and to the success of students, faculty, and staff. The division strives to provide timely, accurate and meaningful financial information and advice to the University community to support management decision-making, and to demonstrate fiscal responsibility, accountability, and regulatory compliance to the Universitys constituents.

Reporting to Accounts Payable Manager, this position supervises a staff of four AP processors; reviews AP documents and processes to ensure compliance with state and Federal regulations and timely, accurate payment to vendors; provides AP reporting including uncashed items for escheatment and yearend reporting; responds to audit inquiries; and provides customer service support and training to campus partners.

The ideal candidate will demonstrate experience using ERP systems and working with federal, state and local regulations and policies related to payables; experience reviewing W9/ W8 requirements and processing 1099 and B-Notice reporting; the ability to collaborate with a diverse campus community including vendors, staff, faculty, and other campus partners; and the ability to work independently, problem solve and manage multiple priorities with excellent attention to detail in a high-volume, and deadline driven environment.

Responsibilities include:

  • Assist in the planning and oversight of daily operations
  • Supervise a staff of four AP processors
  • Interpret, implement, and apply Accounts Payable policies and procedures
  • Oversee uncashed check process and provide reports to Accounting for Escheatment
  • Analyze and process GR/IR clearings
  • Review and release weekly payment runs
  • Manage wire payments
  • Resolve vendor disputes
  • Review debit balances
  • Provide campus AP support including SBN
  • Review and initiate interface files ensuring quality standards are maintained
  • Support Purchasing and Travel Card Administrator as needed
  • Provide data and documents for audits, RTKs, yearly 1099 reporting and other reports
  • Review and maintain vendor master file
  • Support fiscal year end
  • Train new employees and campus partners
  • Continually improve AP processes including automation in management systems
  • Stay up to date with federal, state, and local regulations and Higher Ed and AP best practices
  • Other duties as assigned

Minimum Qualifications

  • Bachelors degree or five (5) years of Accounts Payable experience
  • Supervisory experience
  • Experience using ERP systems
  • Proficiency in Microsoft Office Suite

Preferred Qualifications

  • Experience applying federal, state, and local regulations and policies as it relates to payables
  • Experience reviewing W9/ W8 requirements
  • Experience processing 1099 and B-Notice reporting
  • Experience using SAP
  • Training experience
  • Account Payables Manager certification
