    Description

    PRIMARY PURPOSE:

    Assist Director with the organizational responsibilities of the department to increase student achievement of Emergent Bilinguals and Foreign Language students across the district.

    QUALIFICATIONS:

    Education/Certification:

    High School Diploma or GED, required

    Special Knowledge/Skills:

    Utilize personal computer and software; communicate effectively (verbal and written); utilize effective interpersonal skills;

    Experience:

    Three (3) years clerical/secretarial experience, required

    Workdays: 226

    Clerical/Technical Pay Structure: Pay Grade 5

    Pay Date: Monthly

    Hourly Pay Range:

    Minimum: $19.50

    Midpoint: $23.21

    Maximum: $26.92

    Note: Starting pay for a new hire in a pay range plan will be determined individually based on each person''s job-related experience and salaries paid to peer employees in the same position with similar experience.

    MAJOR RESPONSIBILITIES AND DUTIES/ESSENTIAL FUNCTIONS:

    • Perform general office routines such as typing forms, handling correspondence and meeting notices, maintaining files, processing mail and faxes and duplicating materials.
    • Maintain budget for Bilingual/ESL and Foreign Languages Department.
    • Prepare purchase orders and payment authorizations, prepare PO's for payment and work with companies in obtaining paperwork as required by the auditor.
    • Complete extensive word processing assignments with various computer programs in a timely manner with minimum errors.
    • Maintain effective filing and follow-up systems including purchase orders, absence reports for department employees, request for personnel action, notice of position vacancy and/or Board agenda items.
    • Assist with the preparation of staff development sessions and other meetings. Responsible for obtaining and setting up meeting locations, preparing agendas and sign-in sheets, contacting catering services, duplicating handouts and sending meeting reminders and completing end-of-session reports.
    • Prepare contracts and all paperwork involved with obtaining consultants including travel arrangements, lodging and secure and provide supplies for workshops.
    • Prepare and submit purchase orders for supplies and equipment for general operations, workshops and teacher resources.
    • Prepare, process and keep up to date Semi Annual Certifications for fall and spring semester to all state and federally funded campus staff and assure that they are received back with all required signatures.
    • Solicit, maintain and update files for Auxiliary Staff positions. Assist in the collection and submission of personnel data.
    • Process summer school information including location, hours, meetings, objectives, statistical and narrative documents, financial reports, summer school expenditures and payroll. Keep track of all summer school staff funded by various funds. Process purchase orders and materials for summer school programs. Submit and process print shop orders and prepare summer school registration packets.
    • Assist in the coordination, typing and files of documents for employees who have resigned, retired or terminated employment with the district.
    • Follow McAllen ISD customer service standards.
    • Perform other duties assigned by immediate supervisor (primary evaluator).
