    Marshall Public Schools serves over 2,500 PK-13 students across eight (8) school buildings throughout the Marshall and Albion communities.     HOURS: M-F; 6 hr/day; 30 hr/wk

    POSITION SUMMARY:

    We are seeking a self-motivated, forward-thinking Administrative Assistant to manage daily clerical operations and administrative workflows for the Food Service Department. The employee will handle operational logistics, maintain audit-ready state compliance records, assist with the POS and student systems data, staff onboarding/offboarding, and communicate professionally with staff, vendors, and families.

    JOB QUALIFICATIONS:

    • High school diploma/GED required, Associate degree preferred
    • 5-10 years of administrative experience, highly recommended
    • Experience in K-12 education or food service is a plus
    • Proficiency or strong aptitude with PowerSchool (or similar K-12 SIS) and Meal Magic (or similar cafeteria POS software) required.
    • Strong proficiency in Google Workspace (Docs, Sheets, Drive) and Microsoft Excel; familiarity with workflow automation tools (e.g., Google Apps Script) is beneficial.
    • Excellent written/verbal communication, high attention to numerical detail (vendor/invoice auditing), proactive problem-solving skills, and a strong customer-service mindset.
    • ServSafe certification recommended (or willing to obtain)
    • Must pass a Michigan criminal background check and fingerprinting prior to hire
    • Strong interpersonal relation skills including the ability to maintain strict confidentiality, to work positively with a professional staff with diverse personalities and to interact positively with students, parents and the community

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    • Manage routine inquiries, prioritize task flow, and protect executive time using advanced time-management strategies.
    • Draft professional correspondence, manage department mail, maintain organized physical and cloud filing structures (Google Drive), and streamline daily office routines.
    • Assist the Director with timecard tracking, logging substitute coverage, and updating weekly staff schedules.
    • Assist with multi-step departmental projects (such as annual Free/Reduced application rollouts and state review audits) and coordinate logistics, agendas, and catering for district meetings and events
    • Maintain digital and physical documentation for the National School Lunch Program (NSLP) and Free/Reduced Price Meal applications, ensuring perpetual "audit readiness" for Michigan Department of Education (MDE) and USDA Administrative Reviews
    • Facilitate accounts payable processing, reconcile billing, and resolve vendor discrepancies.
    • Assist with processing purchase orders, tracking department inventory, maintaining supply orders, inspecting incoming food shipments, and logging product recalls
    • Demonstrate an understanding of the district's mission, vision and strategic priorities and actively works to advance them through daily practice and professional conduct
