Position Summary

The Admissions & Recruitment Department is recruiting for one full time Admissions & Recruitment Specialist. This position is responsible for the daily processing and administration of admissions and student records while providing front-facing student engagement in support of enrollment goals. This position serves as a key operational role within the Admissions Office, ensuring accurate processing of applications and records, responding to student inquiries, and supporting campus-based recruitment activities such as tours, information sessions, and enrollment events. This role is admissions-first, with structured support for recruitment activities that occur on campus.

Duties & Responsibilities

Admissions & Records Operations

  • Processes applications for admission and associated documentation in accordance with institutional, state, and federal guidelines.
  • Reviews and evaluates transcripts (high school and transfer) for completeness and accuracy.
  • Assists with determining Texas Success Initiative (TSI) status and exemptions.
  • Updates and maintains student records in the Student Information System (SIS) with a high level of accuracy and confidentiality.
  • Assists with enrollment verification, degree verification, and transcript request processing.
  • Provides admissions, registration, and graduation support during peak processing periods.
  • Contacts prospective students for help with admissions process and currently enrolled students for registration assistance.
  • Maintains compliance with FERPA and institutional data security standards.

Student & Welcome Center Support

  • Serves as a Welcome Center representative, assisting students, families, and visitors in person, by phone, live chat, and email.
  • Responds to general admissions and enrollment inquiries and routes specialized questions appropriately.
  • Provides guidance to prospective students on admissions requirements, timelines, and next steps.
  • Supports inquiry management and follow-up in coordination with recruitment staff.

Recruitment & Engagement Support

  • Conducts campus tours for prospective students and families.
  • Assists with on-campus recruitment events such as open houses, application days, and information sessions.
  • Supports inquiry calls and walk-in traffic during high-volume recruitment periods.
  • Provides front-line support during enrollment and yield events in collaboration with recruitment staff.

Collaboration & Professional Responsibilities

  • Works closely with recruitment, advising, financial aid, and student success staff to support student enrollment and persistence.
  • Participates in cross-training to support comprehensive enrollment services.
  • Serves on committees or workgroups as assigned.
  • Performs other duties as assigned by the Director of Admissions & Recruitment.

Qualifications

  • Associate degree required.
  • 2 years of customer service experience required.
  • Experience working in admissions, records, or a student services environment preferred.
  • Knowledge of student information systems (Banner or similar) preferred.
  • Strong customer service skills and professional communication abilities.
  • Ability to manage multiple tasks with accuracy and attention to detail.
  • Ability to work evenings and weekends as needed during peak enrollment periods.

Specific vision abilities required include close vision, some color vision, and the ability to adjust focus from documents to computer screen. Hearing of light to moderate sound is required by this job. The noise level in the work environment is usually moderate.

Note: Applicants who travel over 200 miles round trip will be reimbursed up to $500 for travel expenses according to the travel reimbursement procedure.
