    Position Summary
    The Youth & Family Program Specialist provides administrative, logistical, and facilitation support to The Center’s Youth & Family Program. This role ensures smooth operations for weekly programs, special events, and ongoing initiatives serving LGBTQIA+ youth and their families. By handling program logistics, data tracking, communication, and volunteer coordination, the Specialist enables the Youth & Family Program Manager to focus on outreach, relationship-building, and program development.
    Key Responsibilities
    Program Support & Logistics
    Assist with preparation, setup, and cleanup for all youth and family programs, including:
    • QVolution - ages 13–17
    • EduGAYtion - ages 18-24
    • QKids - ages 12 and under
    • Youth & Family Therapeutic Support Groups
    • Pivot
    • Youth Sex Ed
    • Gender Neutral Scouting
    • Dungeons & Dragons and other special interest groups
    Event Coordination & Support
    • Support the Youth & Family Program Manager with the planning and execution of on-site youth and family events, including holiday parties, prom, talenthows, open houses, and community resource fairs.
    • Assist with setup, cleanup, and managing event flow to ensure a welcoming and affirming experience for participants.
    • Help organize and track event supplies, decorations, and activity materials.
    • Coordinate day-of logistics such as managing check-in, distributing materials, and supporting youth engagement.
    • Assist the Manager in coordinating and communicating with event volunteers, ensuring they are oriented and supported throughout their shift.
    • Serve as on-site staff support during events, helping address immediate needs and reporting issues to the Manager as needed.
    • Help maintain an affirming, organized environment for all programs and events.
    • Provide in-group support during facilitation, including activity setup, attendance, and managing supplies.
    Administrative & Communications Support
    • Input program data (sign-in sheets, pre/post surveys, demographic info) into tracking systems.
    • Prepare materials such as sign-in sheets, handouts, certificates, and schedules.
    • Submit marketing requests for upcoming events and ensure program info is updated on relevant platforms.
    Collaboration & Team Support
    • Communicate regularly with the Youth & Family Program Manager to provide status updates, share logistical needs, and troubleshoot challenges.
    • Help maintain inventory for supplies, incentives, and food/pantry needs related to youth programming.
    Knowledge
    • Knowledge of LGBTQIA+ youth development, family dynamics, and affirming practices.
    • Understanding of trauma-informed, youth-centered approaches to service delivery.
    • Knowledge of community-based programming and group facilitation best practices.
    • Familiarity with confidentiality requirements and professional boundaries when working with youth and families.
    • Basic understanding of data collection, outcome measurement, and program reporting.
    • Knowledge of community resources available to LGBTQIA+ youth and families.
    Skills
    • Excellent organizational and time management skills with the ability to prioritize multiple projects simultaneously.
    • Strong verbal and written communication skills.
    • Excellent customer service and interpersonal skills with the ability to build rapport with youth, families, volunteers, and community partners.
    • Strong attention to detail and follow-through.
    • Ability to work both independently and collaboratively as part of a team.
    • Proficiency with Microsoft Office and Google Workspace
    • Experience with data entry and maintaining accurate records.
    • Ability to coordinate logistics for multiple programs and events.
    • Problem-solving skills and the ability to adapt in a fast-paced environment.
    • Ability to maintain professionalism and remain calm when responding to unexpected situations.
    Minimum Qualifications
    • Experience working with youth or community-based programs, preferably LGBTQIA+ youth and families.
    • Strong organizational skills and ability to manage multiple tasks and deadlines.
    • Comfort with Google Suite, data entry, and basic scheduling tools.
    • Weekend and evening availability required.
    • Ability to work collaboratively, follow through on assignments, and maintain a youth-affirming approach.
    Educational Requirements
    • Associate degree in Human Services, Social Work, Education, Psychology, Recreation, Nonprofit Management, or a related field preferred. Equivalent combination of education and experience will be considered.
    • Minimum of one (1) year of experience working with youth, families, or community-based programs required
    Physical Requirements: 
    • Remain seated and work at a computer for extended periods.
    • Use a computer, keyboard, mouse, and telephone regularly.
    • Communicate effectively in person, by telephone, and via video conferencing.
    • Occasionally stand, walk, bend, reach, and lift office materials.
    • Lift and carry items weighing up to 10–25 pounds occasionally.
    • Travel locally or overnight, if required by the position.
    • Perform the essential functions of the job with or without reasonable accommodation.
