Workplace Experience Coordinator

As a CBRE Workplace Experience Coordinator, you will be the integral administrative anchor of our office in Salt Lake City, UT. This dynamic, client-facing role is crucial in creating a seamless, productive, and welcoming environment for all occupants ofour corporate office. This role encompasses a broad range of responsibilities, from managing meeting logistics and supporting front desk operations to assisting with office space management and fostering strong internal connections. We are looking for someone that is proactive, adaptable, and highly organized individual with exceptional customer service and communication skills, ready to hit the ground running in a fast-paced environment.

This job is part of the Workplace Experience function. They are responsible for providing world-class customer service to the clients and visitors of a designated building.

What You'll Do:

  • Serve as the first point of contact for all individuals entering the facility, providing a friendly and welcoming greeting.
  • Manage visitor and parking pass issuance, meticulously adhering to all security protocols.
  • Answer and direct incoming telephone calls professionally, making a positive first impression.
  • Develop and deliver engaging presentations to various internal and external groups.
  • Coordinate and confirm recreational, dining, and business activities as requested.
  • Initiate and oversee janitorial or maintenance work orders as necessary to maintain facility standards.
  • Execute comprehensive workplace services, including mail distribution, office supply management, and new employee onboarding support.
  • Address and resolve inquiries or complaints from employees, guests, and co-workers with a professional, customer-service-driven approach.
  • Plan, organize, and manage on-site events, including securing event spaces, coordinating setup and tear-down, and ensuring timely delivery of supplies.
  • Uphold and enforce property-specific security and emergency procedures, promptly notifying relevant parties to ensure the safety of all occupants.
  • Liaise with external vendors providing services or goods to the workplace.
  • Perform front desk reception duties, mailroom responsibilities, copy/print production, and light shipping and receiving.
  • Schedule and coordinate meetings for internal employees.
  • Facilitate minor facility repairs.
  • Explain detailed and/or complicated information within the team. Follow specific directions as given by the manager.
  • Impact through clearly defined duties, and methods and tasks are described in detail. Use existing procedures to solve straightforward problems while having a limited opportunity to exercise discretion.

What You'll Need:

  • High School Diploma or GED with up to 2 years of job-related experience.
  • Ability to follow basic work routines and standards in the application of work.
  • Communication skills to exchange straightforward information.
  • Working knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong organizational skills with an inquisitive mindset.
