RESPONSIBILITIES

Responsibilities and duties include but not limited to: 

  • Receive purchase orders (PO’s) via multiple channels and import those orders into BBC’s EDI system. 
  • Import/export EDI purchase orders and PO changes inclusive of validating accuracy of order details (payment terms, pricing, ship dates, etc.) 
  • Write and send special production orders for named accounts to our overseas partner/agent and manage ship dates. 
  • Specify packaging requirements at the PO level. 
  • Evaluate POs against shipment minimums to determine if domestic/warehouse orders (or) ship direct via distribution center(s). 
  • Save hard copy manual POs on the internal network in an organized manner. 
  • Communicate with overseas order processing department and ensure all issues are being addressed in a timely manner. 
  • Request credit release/payment and allocation for “at once” orders; obtain credit release for terms customers. 
  • Resolve availability problems (overbook, not avail/partial avail). 
  • Communicate partial availability prior to start ship and respond according to customer needs. 
  • Request extensions for any product not available two weeks prior to start-ship date. 
  • Monitor bulk report and request distribution PO’s; deplete manual POs from bulk order. 
  • Follow up on various reports (i.e.: extensions for late avail orders, payment issues, chargebacks, etc.). 
  • Provide supporting documents (BOLs, packing slips, etc.) to finance team for charge back disputes. 
  • Process return authorization requests for wholesale and e-commerce divisions. 
  • Attend weekly overbook, past cancel and open bulk order meetings. 
  • Maintain customer one-sheets and retailer information folder as needed. 
  • Study new editions of vendor compliance and routing guides; compile/communicate relevant packaging and/or shipping updates as needed. 
  • Supply partner/agent custom packing materials for special production orders (outer carton labels, retail labels, access to ticketing portals, etc.) 
  • Maintain best-in-class communication with teams, ensuring accurate & timely communication on all issues related to customer orders. 
  • Escalate customer issues to completion to sustain customer satisfaction. 
  • Place sample orders as required by the customer. Act as intermediary between agent and customer to relay comments. 
  • Any other business as required.
