The Wealth Operations Associate supports the firm's day-to-day operational functions and serves as a critical partner in delivering an exceptional client experience. Acting as the operational backbone of the firm, this position partners with advisors, planners, and operations team members to execute investment and insurance operations, client onboarding, account maintenance, CRM management, billing support and administrative processes with accuracy and efficiency. The Wealth Operations Associate manages multiple operational workflows simultaneously, maintains accurate client records and documentation, coordinates with custodians, insurance carriers, clients, and external partners and ensures requests are completed in a timely and compliant manner. Success in this role requires exceptional organizational, communication, and problem-solving skills, along with the ability to manage competing priorities, follow established procedures, identify opportunities for process improvement, and build strong working relationships across the firm. The Wealth Operations Associate takes ownership of operational processes, proactively resolves issues and helps ensure seamless execution and consistent service delivery across all areas of the business.

Salary - $55,000 - $65,000

Minimum Requirements 
  • 1+ years of administrative, operations, or comparable professional experience
  • Experience in financial services, banking, insurance, mortgage, title, escrow, or another operations-focused environment
  • Ability to manage multiple priorities while meeting deadlines
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Professional demeanor with clients, vendors, and teammates
  • Proficiency with Microsoft Office and the ability to learn new technology quickly
  • Experience with Salesforce or another CRM platform
  • Experience following documented workflows or Standard Operating Procedures (SOPs)
Expectations
  • Processes new account openings, account transfers, money movement requests and account maintenance transactions.
  • Supports investment and insurance operations by preparing, submitting, tracking and completing operational requests.
  • Maintains accurate and up-to-date client records, documentation and workflow data within Salesforce and other firm technology platforms.
  • Monitors operational workflows, task pipelines, referrals and outstanding requests to ensure timely follow-up, issue resolution and successful completion.
  • Organizes and maintains digital client files and documentation in accordance with firm policies, regulatory requirements and record retention standards.
  • Assists with fee billing, client reporting, and other recurring operational processes.
  • Executes established Standard Operating Procedures (SOPs) consistently while identifying opportunities to improve.
  • Coordinates with custodians, insurance carriers, advisors, clients to resolve operational issues, facilitate transactions and provide status updates.
  • Provides administrative and operational support across the organization, adapting to evolving business needs and contributing to special projects and process initiatives as assigned.
  • Performs other duties, tasks and special projects as assigned.
