Warranty Administrator – Automotive Dealership (Ford Experience Preferred)

Position Overview

Bill Brandt Ford is seeking a detail-oriented and process-driven Warranty Administrator to join our Service Department. This role is responsible for managing all aspects of dealership warranty claims, ensuring compliance with manufacturer policies, and supporting the overall efficiency and profitability of the service operation.

The ideal candidate understands dealership operations, has strong administrative skills, and can maintain accuracy in a fast-paced environment.

Key Responsibilities

  • Submit and process warranty claims in accordance with manufacturer guidelines (Ford experience preferred)
  • Review repair orders for completeness, accuracy, and proper documentation before submission
  • Ensure all supporting documentation (technician stories, diagnostics, parts, labor ops) meets warranty requirements
  • Monitor claim status, follow up on pending claims, and resolve rejections or chargebacks
  • Maintain accurate records of all warranty transactions and schedules
  • Reconcile warranty receivables and track payments
  • Communicate with service advisors, technicians, and management regarding claim requirements or corrections
  • Stay up to date with manufacturer warranty policies, bulletins, and updates
  • Assist with internal audits and ensure compliance with dealership and OEM standards

Qualifications

  • Previous dealership experience required (Warranty Admin, Service Advisor, or Office role)
  • Ford warranty experience strongly preferred
  • Strong understanding of repair orders, labor operations, and service processes
  • High level of attention to detail and accuracy
  • Ability to manage multiple tasks and meet deadlines
  • Strong communication and organizational skills
  • Experience with dealership management systems (CDK preferred)
  • Proficient in Microsoft Office (Excel, Outlook, etc.)

Performance Expectations

  • Maintain low claim rejection and chargeback rates
  • Ensure timely submission and follow-up of all warranty claims
  • Support service department efficiency through accurate and complete processing
  • Maintain organized and audit-ready documentation at all times
