General Job Function:

The Warehouse Manager is responsible for planning, organizing, directing, and supervising all district warehouse operations, inventory control, shipping and receiving, mail services, district deliveries, surplus property, and warehouse personnel. The Warehouse Manager ensures the efficient distribution of instructional materials, furniture, equipment, technology, maintenance supplies, custodial supplies, food service items, and other district resources to all district facilities.

The Warehouse Manager is responsible for maintaining accurate inventory records, safeguarding district assets, overseeing warehouse safety, coordinating district courier services, and ensuring timely deliveries to support district operations. The position works collaboratively with all departments to maintain adequate inventory levels, coordinate purchasing and receiving activities, and ensure compliance with district procurement, inventory control, and financial procedures.

The Warehouse Manager is expected to provide exceptional customer service to all district departments, proactively identify operational efficiencies, and complete all assignments from the Assistant Superintendent for Operations accurately and within established timelines.

Education/Training/Experience:

Minimum Qualifications:

  • High School Diploma or GED required.
  • Associate''s Degree in Business Administration, Supply Chain Management, Logistics, Warehouse Management, or related field preferred.
  • Minimum of five (5) years of progressively responsible warehouse, inventory, logistics, or distribution experience.
  • Minimum of three (3) years supervisory experience preferred.
  • Experience with inventory management software preferred.
  • Experience operating warehouse equipment preferred.

District inventory management software, financial software, Microsoft Office Suite, Google Workspace, warehouse equipment, forklifts, pallet jacks, hand trucks, district vehicles, scanners, barcode systems, telephones, radios, and standard office equipment.

Physical/Cognitive Requirements:

Regularly required to stand, walk, bend, lift, carry, push, pull, climb, communicate verbally and electronically, operate warehouse equipment, inspect deliveries, and travel between district facilities.

Must be able to lift and/or move up to 75 pounds with or without assistance and heavier items using appropriate equipment.

Requires strong organizational, analytical, leadership, and decision-making skills while managing multiple priorities.

Environmental Conditions:

Work is performed in warehouse, loading dock, storage facilities, district offices, schools, and outdoor environments. Frequent exposure to varying weather conditions, warehouse equipment, vehicle traffic, dust, and noise is expected.

Essential Job Functions:

Warehouse Operations

  • Direct and supervise the daily operations of the district warehouse.
  • Ensure efficient receiving, storage, inventory, distribution, and delivery of district materials.
  • Develop procedures to improve warehouse efficiency and customer service.
  • Maintain an organized, clean, and safe warehouse environment.

Inventory Management

  • Maintain accurate inventory of district supplies, equipment, furniture, instructional materials, maintenance supplies, custodial supplies, technology equipment, and other warehouse stock.
  • Conduct routine physical inventory counts and annual inventory reconciliation.
  • Monitor inventory levels and recommend purchases to maintain adequate stock.
  • Coordinate inventory transfers between district departments and school sites.
  • Ensure all fixed assets are properly received, tagged, inventoried, and distributed.

Shipping and Receiving

  • Supervise receiving of all district deliveries.
  • Verify shipments for accuracy and completeness.
  • Coordinate resolution of damaged or incorrect shipments with vendors.
  • Ensure timely distribution of received materials to requesting departments.

Delivery and Courier Services

  • Oversee district delivery schedules for all schools and departments.
  • Supervise courier services, including mail distribution, package delivery, and transportation of district materials.
  • Ensure timely pickup and secure delivery of daily school deposits in accordance with district cash handling procedures.
  • Coordinate special deliveries, district events, and emergency supply distribution.

Personnel Management

  • Supervise, train, assign, and evaluate warehouse personnel.
  • Develop work schedules and delivery routes.
  • Ensure adequate staffing to meet district operational needs.
  • Promote a safe and productive work environment.
  • Provide ongoing training in warehouse operations, safety procedures, and customer service.

Procurement and Asset Control

  • Collaborate with the Chief Procurement Officer, Finance Department, and district departments regarding inventory needs.
  • Assist with receiving and distributing items purchased through district procurement processes.
  • Ensure compliance with district inventory control procedures.
  • Coordinate surplus property collection, storage, transfer, auction, or disposal in accordance with district policy.

Fleet and Equipment

  • Ensure warehouse vehicles and equipment are properly maintained.
  • Coordinate preventive maintenance for warehouse equipment.
  • Monitor vehicle inspections and report maintenance needs promptly.
  • Maintain records of vehicle usage and warehouse equipment.

Safety and Compliance

  • Maintain compliance with OSHA regulations and district safety procedures.
  • Conduct warehouse safety inspections.
  • Ensure safe handling and storage of materials.
  • Maintain security of warehouse inventory and district assets.
  • Implement corrective actions for identified safety concerns.

Budget and Operations

  • Assist in developing and monitoring the warehouse budget.
  • Monitor expenditures for warehouse supplies and equipment.
  • Recommend operational improvements to increase efficiency and reduce costs.

Collaboration

  • Work collaboratively with all district departments to support operational needs.
  • Provide excellent customer service to schools and district staff.
  • Coordinate warehouse operations with Maintenance, Technology, Transportation, Finance, Food Services, and Purchasing.

Additional Responsibilities

  • Maintain confidentiality of district information.
  • Attend required district meetings and professional development.
