Job Title: Volunteer Manager Department: Programs/Development

Job Summary:

The Volunteer Manager plays a key role in supporting Champions For Learning’s mission by overseeing the day-to-day operations of volunteer engagement, including recruitment, onboarding, training, placement, communication, and ongoing support. Working under the direction of the Director of Community Engagement, this role helps cultivate a welcoming, relationship-centered volunteer experience in which volunteers feel valued, supported, appreciated, and meaningfully connected to the organization’s mission. The Volunteer Manager seeks to understand volunteers’ interests, skills, and passions and helps connect them with opportunities that create meaningful impact for students, educators, and the volunteers themselves, while also providing administrative and logistical support for program teams, volunteer activities, and recognition efforts throughout the year.

Duties/Responsibilities:

There are two main pillars of focus in this role: Volunteer Management and Program Support.

  • Develop and maintain a strong knowledge of Champions For Learning’s program offerings and organizational goals to assist in the implementation of the Community Engagement, Student, and Educator annual work plans.
  • Serve as the main point of contact for incoming volunteer inquiries and interest.
  • Oversee the volunteer lifecycle including recruitment, relationship-building, onboarding, placement, scheduling, training, and ongoing engagement, with an emphasis on thoughtfully aligning volunteers’ interests, skills, and passions with organizational needs.
  • Manage volunteer databases (Get Connected and Take Stock in Children), ensuring accurate and timely compliance with screening requirements, record maintenance, and internal data-sharing protocols in alignment with organizational standards.
  • In collaboration with the Director of Community Engagement, assist with:
    • Integrating volunteer and donor cultivation and stewardship strategies.
    • Collecting and incorporating volunteer feedback into a continuous improvement model.
    • Stewardship events (Volunteer Recruitment Socials, Volunteer Luncheon, etc.).
  • In collaboration with the Director of Community Engagement, assist with implementation of annual community engagement activities and events.
  • Foster a welcoming, relationship-centered volunteer experience in which volunteers feel valued, supported, informed, and connected to meaningful impact.

Responsibilities as it relates to Student Programs:

The Volunteer Manager will:

  • Ensure that all mentors are matched with students in a timely and efficient manner.
  • Ensure that potential mentors complete background checks in a timely manner as required by state law.
  • Offer comprehensive mentor training that defines roles and responsibilities; clarifies Take Stock in Children and Pathways to Success – Foundations mentoring guidelines and expectations; and provides tools and resources.
  • Maintain consistent and proactive communication with mentors through multiple channels, including phone, email, surveys, newsletters etc.
  • Plan and execute all mentor trainings.
  • Ensure that all mentor/mentee sessions are completed and accurately documented by mentors within established timelines.
  • Respond to mentor/mentee rematch needs by making a timely rematch to an eligible mentor, facilitate the meet & greet between mentor and mentee (with support from the assigned College & Career Coach).
  • Collect, document and report data on key performance indicators, in the areas of mentor recruitment, participation, application processing, screening, training, matching, and session frequency.
  • Collaborate with Student Program College and Career Success Coaches to develop successful mentor/mentee relationships.

Responsibilities as it relates to Educator Programs:

In collaboration with the Director of Educator Programs, the Volunteer Manager will:

  • Support the effective engagement of volunteers in Educator Programs to ensure alignment with program goals and a positive experience for both educators and volunteers.
  • Support the preparation of volunteers to effectively engage in educator-facing opportunities.
  • Maintain consistent and proactive communication with Educator Program volunteers through multiple channels, phone, email, surveys, newsletters, etc.
  • Assist with the planning and execution of in-person and virtual volunteer meetings as needed
  • Assist with scheduling, placement, and confirmation of volunteers for Educator Program activities and events.
  • Collect, document, and report data on key performance indicators, in the areas of Educator Program volunteer recruitment, participation, and retention.

Required Skills and Abilities:

  • Knowledge of nonprofit program operations, particularly within education or youth-serving organizations, with the ability to support key initiatives.

Education and Experience:

  • Bachelor’s degree
  • At least two years' related experience required.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to work evenings/weekends as required.
  • Mustbe able to lift at least 25 lbs
