The Volunteer Engagement Specialist is responsible for coordinating Rocky Mountain Public Media's volunteer program across all RMPM brands, including Rocky Mountain PBS, KUVO JAZZ, THE DROP 104.7, and Rocky Mountain Public Media.
This position oversees the day-to-day administration of the volunteer program by recruiting, onboarding, scheduling, communicating with, training and recognizing volunteers who support events, fundraising activities, promotional outreach, productions and station initiatives. The Volunteer Engagement Specialist works closely with internal departments to understand volunteer needs and ensures every event is appropriately staffed, trained with engaged volunteers and volunteer captains. Manages a volunteer corps of approximately 1000 active volunteers supporting approximately 40 events annually.
The ideal candidate is highly organized, service-oriented and enjoys building relationships while creating a positive volunteer experience. The Volunteer Engagement Specialist will create volunteer experiences in which people feel welcomed, seen, heard, prepared and connected to RMPM's mission and Friendship Business Model.
Essential Duties & Responsibilities
Volunteer Recruitment & Retention
- Administer volunteer screening protocols, including reference verification, prior to volunteer placement, in accordance with RMPM policy.
- Recruit, interview, onboard, train and retain a diverse volunteer corps to support RMPM's mission.
- Develop statewide recruitment strategies to maintain a robust pipeline of volunteers throughout the year.
- Facilitate volunteer orientations and training sessions and confirm that volunteers complete required orientation and training, including expectations regarding conduct, confidentiality, safety, boundaries, anti-harassment, media or data access, and interactions with minors or other vulnerable populations, when applicable.
- Maintain volunteer records, applications, waivers, background checks and required documentation.
- Respond promptly and respectfully to volunteer concerns, conduct issues, safety incidents, or policy violations; document and escalate matters through established channels.
Volunteer Coordination
- Schedule volunteers for events, productions, fundraising activities and organizational initiatives across all RMPM brands.
- Match and assign to clearly defined volunteer roles based on their skills, interests, accessibility needs and organizational needs.
- Recruit, train, schedule and support Volunteer Captains who provide leadership during events.
- Serve as the primary point of contact for volunteer questions, scheduling changes and communications.
- Ensure volunteers receive timely event information, expectations and logistical details.
Program Administration
- Maintain volunteer databases and scheduling software.
- Track volunteer participation, hours and engagement metrics, as well as identify gaps and improve the program and advocate for program enhancements.
- Prepare reports on volunteer activity and program performance regarding the approximately 1000+ person volunteer pool, including active participation, retention, pipeline health, screening status, training, coverage and volunteer experience.
- Assist with developing volunteer policies, procedures, onboarding resources, and training materials in partnership with RMPM leaders.
- Coordinate volunteer appreciation initiatives and recognition programs.
- Maintain volunteer swag, apparel and other initiatives as needed.
Cross-Department Collaboration
- Partner with departments across Rocky Mountain PBS, KUVO JAZZ, THE DROP, and RMPM to understand volunteer staffing needs and build training programs specific to each.
- Works in close collaboration with the Senior Manager, Community Engagement & Public Participation to connect volunteer opportunities with statewide civic engagement, community relationships, and RMPM's Friendship Business Model.
- Meet regularly with event and program leads to forecast needs, establish clear staff ownership and supervision and ensure volunteer coverage.
- Provide hands-on coordination before and during events, including on-site support during regularly scheduled evening and weekend events.
- Identify opportunities to improve volunteer processes and operational efficiency.
Qualifications of Position
Required
- Bachelor's degree or equivalent combination of education and experience.
- Two or more years of experience coordinating volunteers, events, customer service, hospitality, nonprofit operations or related work.
- Exceptional organizational and time management skills.
- Strong interpersonal and communication abilities.
- Sound judgment and discretion when handling confidential information, screening decisions, volunteer concerns, and safety or conduct issues.
- Ability to manage multiple priorities and deadlines.
- Experience using Microsoft Office, Slack and database or CRM systems.
- Demonstrated ability to build inclusive relationships and communicate respectfully with people of varied backgrounds, identities, ages, abilities, and levels of experience.
- Ability to enforce and uphold volunteer screening and safety protocols consistently across all events.
- Ability to work occasional evenings and weekends to support volunteer and community events. Regular on-site attendance is expected for new events and volunteer activations to provide leadership, training, guidance and support for volunteers, ensuring a positive and successful event experience.
- A valid State Driver's License in good standing.
Preferred
- Experience with volunteer management and Volgistics software.
- Experience coordinating volunteers for nonprofit organizations or events.
- Knowledge of event operations and logistics.
- Spanish language proficiency is a plus.

Physical Requirements
- Ability to stand for extended periods during events, with or without reasonable accommodations.
- Ability to lift up to 25 pounds.
- Ability to travel locally and statewide as needed to support events.
Position Expectations
This role regularly works outside standard business hours based on the event calendar, including evenings and weekends. Scheduling will be coordinated with the supervisor, and the employee must accurately record all working time, including required event setup, breakdown, communications, and compensable travel time. Final compensation is based on qualifications, relevant experience, skillset, and internal equity.
