Animal Emergency & Specialty Center (AESC) in Chattanooga is seeking an experienced Veterinary Receptionist & Emergency Patient Coordinator to join our fast-paced, compassionate emergency and specialty team. This weekend-only opportunity is ideal for someone with prior veterinary or emergency care experience who thrives in high-volume environments and is passionate about delivering exceptional client service during critical moments.
In this dual-role position, you will serve as the first point of contact for clients while also providing financial coordination, patient updates, and seamless communication between pet owners, veterinarians, and primary care providers.

Location: 6393 Lee Hwy, Chattanooga, TN 37421
Schedule: Friday–Sunday, 7:00 AM – 3:00 PM
Pay: $16.00 – $18.00/hour (based on experience)

Key Responsibilities


Client Relations & Communication
  • Greet clients, answer phones, and provide a compassionate, professional first impression.
  • Gather accurate patient history and presenting concerns to support the medical team.
  • Act as a liaison between clients, veterinarians, technicians, and referring veterinarians (pDVMs).
  • Provide timely updates on patient status under veterinary direction.
  • Support clients emotionally during high-stress and emergency situations.
Financial Coordination & Transparency
  • Create, review, and explain treatment estimates, ensuring clients understand diagnostic and care plans.
  • Secure deposits and process payments for emergency services, procedures, and hospitalizations.
  • Educate clients on pricing, financial policies, and third-party financing options (e.g., CareCredit, Scratchpay).
  • Perform basic auditing of charges to ensure accuracy and completeness.
Appointment Scheduling & Patient Flow
  • Schedule and manage emergency visits and specialty consultations.
  • Triage incoming calls and coordinate urgent patient admissions.
  • Monitor patient flow and assist in prioritizing cases based on medical urgency.
  • Maintain accurate and detailed patient records in the EMR system.
Patient Intake & Documentation
  • Process intake forms, consent documents, and medical records.
  • Ensure all patient information and updates are entered accurately and promptly.
  • Assist with check-in, discharge paperwork, and follow-up coordination.
Operational & Team Support
  • Maintain a clean, organized, and professional front desk and lobby environment.
  • Collaborate closely with clinical staff to ensure efficient workflow and communication.
  • Assist with bringing patients to exam rooms and coordinating client visitations.
  • Provide support to nursing staff during peak times, including basic CSR duties.
Emergency Support
  • Stay calm and organized during emergency situations, supporting triage and intake processes.
  • Prepare and manage paperwork for specialty procedures and hospitalized patients.

Skills Knowledge and Expertise


  • Previous experience in a veterinary clinic, emergency hospital, or specialty setting preferred
  • Strong communication skills with a high level of empathy and emotional intelligence
  • Ability to multitask in a fast-paced, high-stress environment
  • Basic understanding of veterinary terminology and emergency presentations
  • Experience with veterinary software systems (e.g., Instinct, Via) is a plus
  • Proficiency in handling financial transactions and discussing costs with clients
Education & Requirements
  • High school diploma or equivalent required
  • Ability to stand for extended periods and assist with pets up to 40 lbs if needed
