About You
You are a compassionate and organized Veterinary Client Service Representative (CSR)/Veterinary Receptionist with strong customer service, front desk, and client communication skills who thrives in a fast-paced veterinary hospital. Youre comfortable managing multi-line phones, check in/check out, payment processing, and practice management software while delivering an exceptional client experience.
Your Experience & Skills
- High school diploma or equivalent required.
- Previous experience in a veterinary hospital or clinic is preferred.
- Working knowledge of veterinary hospital services and the species treated.
- Familiarity with pet care products, including food, retail items, and medications.
- Strong written and verbal communication skills in English.
- Ability to provide professional, courteous service to clients and team members.
- Able to manage multiple tasks, stay organized, and prioritize effectively in a fast-paced environment.
- Strong attention to detail with the ability to maintain accuracy in payments, data entry, and records.
- Comfort using computers, phones, and practice management software.
- Understanding of employee handbook and hospital policies.
Responsibilities (include but are not limited to):
- Greet clients in a friendly, professional manner and provide exceptional customer service
- Check patients in and out using practice management software; ensure all client and patient information is accurate and up to date
- Schedule appointments, including surgical procedures, and manage daily calendar flow
- Process medication refill requests and deliver medications (including controlled medications) to clients in accordance with hospital protocols
- Maintain complete and accurate medical records, ensuring timely documentation
- Answer incoming calls, take messages, and direct or transfer calls appropriately
- Communicate clearly with clients regarding patient care, basic pet care, products, and procedures
- Collect and process client payments; balance and maintain the cash box
- Prepare, send, and manage communications via email and fax
- Maintain a clean, organized reception area, following aseptic techniques and proper use of protective equipment
- Stock and organize pet food, retail items, and office supplies
- Follow established protocols, procedures, and instructions to support hospital operations
Physical Requirements
Must be able to perform the essential functions of the position with or without reasonable accommodation.
- Frequently lift up to 35 lbs.; occasionally lift up to 50 lbs.
- Ability to stand, sit, or walk for extended periods (up to 10 hours per day)
- Perform repetitive physical tasks including reaching, bending, stooping, kneeling, crouching, pushing, pulling, and grasping
